Job SummaryThe Senior Administrative Assistant provides high-level administrative and operational support to the Chairman and Chief of Staff serves as a key partner in ensuring the efficiency of executive and office functions. This role requires strong organizational skills, sound judgment, and a high degree of professionalism. The ability to manage multiple priorities in a fast-paced environment is essential. Confidentiality is critical, as this role regularly handles sensitive and proprietary information. The ideal candidate is highly technology savvy, detail-oriented, and demonstrates a strong commitment to punctuality and accuracy in all tasks.Essential FunctionsManage complex and dynamic executive calendar, including prioritization of meetings and scheduling across internal and external individualsOversee high-volume email management on behalf of the Chairman, including drafting responses, prioritizing communications, and ensuring timely follow-upCoordinate all aspects of domestic business travel, including itineraries, accommodations, and logisticsPrepare for executive meetings by conducting research, compiling briefing materials, and maintaining marketing packagesFacilitate weekly company and Investment Committee meetings, including scheduling, agenda preparation, note-taking, and tracking action items to completionOversee preparation and distribution of weekly departmental reports, ensuring accuracy and timelinessServe as the primary liaison for office vendors, maintaining strong relationships and ensuring service qualityOversee office operations, including supply inventory management and coordination of company-wide lunches and eventsMaintain organized digital and physical filing systems, ensuring efficient document management and accessibilityPerform notary services for company documents as requiredHandle confidential information and sensitive matters with the highest level of discretionExecute special projects and administrative initiatives, often requiring independent judgment and problem-solvingProvide regular status updates to leadership on priorities, ongoing tasks, and project progressErrands for the Chairman, both business and personal, as needed.Other duties as assignedEducation & ExperienceBachelor's degree preferred or equivalent work experienceMinimum 5-8 years of Administration experience/3-5 years’ experience directly supporting senior corporate executivesProficient with Microsoft Office Suite (Outlook, Word, Excel, Teams)Knowledge of commercial real estate a plusExperience: CoStar, Realcore, Concur, DocusignCertificates and/or Licensesn/aOther Skills & AbilitiesExcellent written and verbal communication skills.Strong organizational and analytical skills. Ability to provide efficient, timely, reliable, and courteous service to customers.
