Receptionist/Administrative Assistant

Miller Engineering is seeking an organized, dependable, and personable Administrative Assistant / Front Office Coordinator to support our growing team. This position is more involved than a traditional receptionist role. In addition to serving as the first point of contact for clients and visitors, this person will play an important role in coordinating our forensic engineering workflow, including scheduling inspections, tracking deadlines, maintaining project information, and helping ensure tasks and follow ups do not fall through the cracks. The ideal candidate is an excellent communicator who can manage multiple priorities, stay organized in a fast paced professional environment, and pay close attention to details. This person should be comfortable communicating with clients, engineers, property owners, attorneys, insurance professionals, and other project contacts while providing administrative support throughout the office. Responsibilities * Answer incoming phone calls and route callers to the appropriate team member. * Greet clients, vendors, and other visitors to the office. * Coordinate scheduling for forensic engineering inspections and appointments. * Communicate with clients and other project contacts regarding scheduling and availability. * Track project deadlines, appointments, follow ups, and other time sensitive items. * Help maintain an organized forensic engineering workflow and ensure outstanding items are followed through to completion. * Enter and maintain accurate information within the company's custom project management and scheduling systems. * Provide administrative support to management, engineers, and other team members. * Prepare documents, correspondence, meeting materials, and other office materials as needed. * Review reports and other documents for grammar, formatting, completeness, and general quality. * Maintain professional communication by phone, email, and written correspondence. * Assist with filing, document organization, scanning, and general office tasks. * Assist with meeting preparation and other office coordination. * Use Microsoft Office programs and company specific project management software. * Assist with social media posting and other basic marketing activities as needed. * Assist with Requests for Qualifications, marketing materials, and other business development efforts as needed. Qualifications * Previous administrative experience in a professional office environment preferred. * Excellent organizational and time management skills. * Strong attention to detail and accuracy. * Excellent written and verbal communication skills. * Ability to manage multiple priorities and deadlines without losing track of details. * Professional and comfortable communicating with clients and the public. * Strong computer and typing skills. * Proficiency with Microsoft Office, including Outlook, Word, and Excel. * Ability and willingness to learn new software and internal processes. * Dependable, responsive, and willing to take ownership of assigned responsibilities. * Basic familiarity with social media marketing is helpful. What We're Looking For We are looking for someone who notices what needs to be done and follows through. This position requires someone who can keep track of many moving pieces, communicate clearly, and help keep projects and schedules organized. The right person will be comfortable switching between answering a phone call, scheduling an inspection, updating project information, assisting an engineer, helping a visitor, and following up on an outstanding task without allowing important details to get lost along the way.
