This role is responsible for managing front office operations, coordinating patient appointments, and ensuring smooth communication between patients, providers, and clinical staff. A strong emphasis is placed on handling high-volume phone calls with professionalism, efficiency, and compassion.ResponsibilitiesKey Responsibilities:Patient Interaction & Front Desk DutiesGreet and check in/check out patients in a friendly, professional mannerVerify patient demographics, insurance, and required documentationCollect co-pays, balances, and process payments accuratelyEnsure patient confidentiality in compliance with HIPAA regulationsPhone & Communication ManagementAnswer and manage high-volume inbound calls promptly and professionallySchedule, reschedule, and confirm patient appointmentsTriage calls to appropriate clinical staff or providersRespond to patient inquiries regarding services, forms, and appointmentsRetrieve and respond to voicemail messages in a timely mannerProvide clear instructions and information to patients regarding visit preparationScheduling & CoordinationMaintain accurate provider schedules, including OB and GYN appointmentsCoordinate urgent appointments and accommodate same-day needs when appropriateVerify insurance eligibility and obtain necessary referrals/authorizationsAdministrative SupportScan and upload documents into the electronic medical record (EMR) systemMaintain organized and accurate patient recordsAssist with referrals, medical records requests, and paperworkSupport clinic workflow to ensure efficient patient throughputQualifications Qualifications RequiredHigh school diploma or equivalentMinimum 1–2 years of experience in a medical office or customer service roleStrong phone etiquette and experience handling multi-line phone systemsExcellent interpersonal and communication skillsAbility to multitask in a fast-paced environmentBasic computer proficiency (EMR systems, Microsoft Office, etc.)PreferredExperience in OB/GYN or women’s healthKnowledge of medical terminologyFamiliarity with insurance verification and authorization processesKey Skills & CompetenciesCustomer service excellence and patient-centered approachStrong organizational and time management skillsAttention to detail and accuracyAbility to remain calm and professional under pressureTeam-oriented mindset with a proactive attitudeWork EnvironmentBusy outpatient OB/GYN clinic settingFrequent phone and face-to-face patient interactionAbility to sit, stand, and use office equipment for extended periodsWhy Join UsCollaborative and supportive team environmentOpportunity to make a meaningful impact on patient care
