Administrative Specialist

Administrative SupportReporting directly to a Juvenile Service Manager or Director, responsible for providing administrative support to an assigned division by performing reception and clerical duties. This position will be located at the Taylor, TX Annex.Examples Of Work PerformedProvides continuous coverage at a reception desk to assist visitors and callersReceipts funds for probation, restitution, court, and child support feesAssists in copying, filing and auditing invoicesEnters and verifies data within the Juvenile Case Management System (JCMS) databaseCreates and maintains various reports, forms, worksheets, and informational materialsEnsures comprehensive filing systems are maintained and up to dateRetrieves, sorts and distributes incoming mail and fax documentsAssists in planning and executing special projects and eventsAssists with policy and procedure updatesCross-trains with other office staff to ensure continuity of departmental operationsAttends all meetings and trainings, as requiredPerforms special duties as assignedProcesses juvenile arrest documentationUpdates Department of Public Safety (DPS) computerized criminal history and ensures complianceMaintains and produces caseload reportsProcesses and audits probation case dataRecords probation details within DPS databaseCreates and tracks various correspondence related to probationPerforms school records requestsPerforms record/file maintenance and quality assuranceReviews and prepares all documentation relating to sealing of records for eligible youthVerifies data within case management system and enters applicable notesScans and/or prepares records for destructionOrganization Relationships:Reports directly to Juvenile Services Manager or DirectorDirect Reports NoPhysical Demands:Position involves prolonged standing, sitting, walking, reaching, twisting, pushing, pulling, kneeling, bending, talking, and listeningPosition involves some driving related to errands and meetingsEnvironmental Factors:Work is primarily indoors in an air-conditioned environmentOccasional contact with persons accused or adjudicated of crimesIrregular Hours:Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be requiredMay be deemed essential personnel in the event of an emergencyMinimum QualificationsHigh School diploma or equivalentOne (1) year of clerical experience in a professional office environmentWorking knowledge of Microsoft Office SuiteLicenses and Certifications Required within thirty (30) days of employment:Valid Texas driver's licensePreferred QualificationsTwo (2) years of clerical experience in a professional office environmentCourt Assignment: Prior work experience in a law enforcement or juvenile justice settingEmployment TestingCriminal background check: YesMotor Vehicle Record check: YesDrug screening: YesPhysical exam: YesPsychological exam: NoAdditional: Child Abuse Registry CheckSupplemental InformationWilliamson County is a tobacco free workplace.
