Executive Support Specialist
The Executive Support Specialist will directly support the Vice President, Corporate Strategy in managing sales pursuits, customer interactions, operational processes, and internal coordination. This individual will act as an extension of the VP, ensuring sales activities are organized, documented, and executed efficiently. The ideal candidate brings strong organizational skills, excellent written communication, and experience in IT services or technology-driven environments.This full-time position is on site at our Fort Lauderdale Headquarters. Work hours are Monday – Friday, 8:30a – 5:30p Eastern time. Key ResponsibilitiesSales Pursuit Support Assist the VP of Corporate Strategy with new business pursuits, including preparing materials, coordinating internal resources, and tracking progressOperational & Administrative Support Manage schedules, customer meetings, and follow-ups; ensure the VP is prepared with agendas, briefs, and documentationContent & Presentation Development Create high-quality PowerPoint decks, executive summaries, status reports, and customer-facing materialsData & Reporting Build Excel reports and pivot tables; maintain deal pipelines, forecast reports, and internal dashboardsCommunication Draft professional communications, including emails, proposals, meeting notes, and internal updatesCross-Functional Collaboration Partner with delivery, marketing, finance, and technical teams to gather information for proposals and sales materialsService Portfolio Understanding Develop and maintain knowledge of the company’s IT services portfolio to support effective sales conversations and materialsQualificationsBachelor’s degree in Business Administration, Communications, Marketing, or a related field3–5 years of experience in executive support, sales operations, or a similar roleExperience working in IT services, SaaS, or technology-driven environmentsStrong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word)Ability to build and analyze Excel reports, including pivot tables and data dashboardsExperience with CRM platforms (e.g., Salesforce, HubSpot, or similar)Exceptional written and verbal communication skills, including the ability to draft executive-level correspondenceStrong organizational skills with the ability to manage multiple priorities and deadlinesHigh attention to detail, especially when preparing documents, presentations, and customer-facing materials Ability to act as an extension of senior leadership with a high degree of professionalism and discretionStrong problem-solving skills and the ability to anticipate and proactively address needsComfortable collaborating with cross-functional teams (delivery, marketing, finance, technical)Ability to learn and maintain understanding of a technical services portfolio to support sales conversationsThis position has responsibilities that include working with a government contractor; therefore, U.S. citizenship is required.
