LEGAL ADMINISTRATIVE ASSISTANTJOB DESCRIPTIONPOSITION SUMMARY:A Legal Administrative Assistant assists attorneys and paralegals through the performance of complex and substantive legal tasks requiring knowledge of legal terminology and the legal process. The Legal Administrative Assistant is required to handle strict confidential client and firm data in a professional and ethical manner on a daily basis and provide attorneys with assistance as defined below.WORKING RELATIONSHIPS:REPORTS TO: Assigned Attorney(s) and Office Manager for administrative matters.SUPERVISES: No supervisory responsibilities.PRIMARY DUTIES AND RESPONSIBILITIES:*1. Provide support to assigned attorney(s) and paralegal(s)*2. Format documents into final form, proofread, copy, scan, mail, etc.*3. Process incoming and outgoing mail*4. File/e-file documents with courts and/or agencies*5. Opening/closing files, consistent with department and firm practice6. Scheduling conference calls, meetings and travel*7. Manage data and prepare presentations as needed8. Office duties including copying, scanning, faxing, time entry, call edit, filing, etc.9. Manage and calendar time10. Other duties as assigned*Denotes essential functions of the positionKNOWLEDGE, SKILLS AND ABILITIES REQUIRED:EDUCATION:1. High School Diploma or Equivalent required. Bachelor’s degree preferred.2. WORK EXPERIENCE:One year administrative office experience is required. Bachelor’s degree may substitute for experience.Ability to multitask, paying close attention to detail and coordinating various activities simultaneously under tight schedule; ability to proofread typed material for grammatical, typographical or spelling errors; strong communication skills, both verbal and written; ability to manage others as needed; proficient computer skills (strong working knowledge of Word, Excel, Outlook, PowerPoint) and internet applications; ability to work overtime, as needed, to meet deadlines; ability to work independently and cooperatively in a team environment; ability to maintain confidentiality and act with discretion.PREFERRED:One year of experience working in a law firm with heavy volume is preferred.WORKING CONDITIONS:PHYSICAL EFFORT: Lifting up to 20 pounds; prolonged sitting, some stretching and reaching.WORK ENVIRONMENT: Indoor office environment with extended periods of time working on a PC. On occasion must be able to work more than 40 hours per week.
