Outpatient Clinic Clerk/Receptionist

JOB REQUIREMENTS: Performs receptionist and general clerical work underbasic supervision, while also exercising independent judgment intransactions with the public. Responsible for patient appointmentscheduling, and answering and redirecting incoming calls, requiringfamiliarity with departmental programs, operations, and agency staff.Processing medical records, compliance standards, data processing,receiving the public and providing customer service is all included inthis position. Essential Duties Schedules and manages patientappointments using an electronic health record, as instructed, andmaintains appropriate records. Utilizes judgment based on providerpreferences. Acknowledges and greets clients/visitors as they arrive,directing them and providing information. Notifies appropriate staffperson when a client/visitor has arrived and/or is waiting for anappointment. Maintains a professional and friendly demeanor with allinternal and external customers, clients, and staff members. Maintainsthe confidential nature of client and business information, records anddocuments per departmental standards and State/Federal ConfidentialityLaws. Answers incoming phone calls and inquiries of a general nature orrefers inquiries to the proper staff member or department. Receivesand/or relays messages to proper department or employee, either in paperor electronic format depending upon the information. Assists withrequesting records and the patient intake process. Scans paper recordsto the electronic health record, making sure there is attention todetail with correct program selection and naming conventions. Coordinateclient services to make sure there is continuity of care. If applicable,receives payments, issues receipts and accounts for monies handled.Performs data entry of agency/departmental information. Obtainsinformation from public, clients and/or staff members for completion offorms and documents. Ensures regulatory compliance with forms,documents, and medical records. Maintains computer informationsystem(s), especially Client data and demographics. Develops andmaintains files according to departmental standards. Prepares office forbusiness and closes office on a daily basis. Utilizes word processingsystems to prepare correspondence, memorandums, lists, reports, andother documents. Assists with various projects and programs as needed.Maintains a clean, safe and organized working environment. Attendsin-service training and meetings, as required and necessary to carry outresponsibilities of the position. Knowledge of a variety of medicationsalong with their side effects, side actions and contraindications.Knowledge of basic abnormal behaviors and major mental illnesses.Knowledge of alcohol and other drug abuse dynamics, programs, andtreatment methods. Knowledge of adult medical problems and treatmentapproaches. Ability to initiate, maintain and implement an IntegratedCare Plan. Ability to analyze symptoms and conditions and apply soundnursing principles in making decisions. Ability to maintain appropriateclient caseload, when applicable. Ability to deal with stress associatedwith threatening and/or unpredictable client behavior. Ability tocommunicate effectively both orally and in writing. Ability to establishand maintain effective interpersonal relationships with staff and thepublic. Ability to accept and adapt to change. Ability to understand andcarry out policies an procedures governing patient care. Ability todemonstrate leadership skills to direct and coordinate health teammembers. Ability to lead, direct and supervise the work of fellowemployees.
