Our clients are like family to usWe offer a stable and growing company with leadership, support, training, and everything you need to succeed and grow your career.Position Overview:The New Account/Insurance Specialist provides critical back-office support to financial advisors by preparing and processing custodian account paperwork, life insurance applications, and annuity applications. In this role, you will ensure all paperwork is complete and accurate, track each case from submission through policy issuance, and proactively follow up with carriers and clients to guarantee timely and compliant processing.This role requires strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks and deadlines. It also involves client-facing communication, so professionalism and clarity are key.Key Responsibilities: Prepare, review and process custodian paperwork to open and fund investment accounts.Prepare, review, and process new life insurance and annuity applications, replacements, and transfer paperwork.Work directly with contra firms and 401(k) custodians to facilitate asset transfers and resolve documentation issues.When preparing paperwork, verify accuracy and completeness of client data, beneficiary information, and financial disclosures.Prior to submission, review applications for completeness and accuracy and ensure all submissions comply with carrier, broker-dealer and regulatory requirements.Track the status of all cases through the various stages: signature, carrier review, underwiring, approval, funding and policy delivery.For open outstanding requirements, work with carriers on items needed, prepare corrected paperwork and coordinate sign off on paperwork with client and advisors.Prepare policy packets for advisor team, ensuring delivery requirements are met.Communicate regularly with clients, advisors, custodians, and internal teams regarding status of cases and open items needed.Maintain up-to-date records of cases, detailed tracking, correspondence, and carrier communications in CRM or agency systems.Maintain confidentiality and accuracy in handling client and financial data.Required Experience & Skills2-3 years of experience in the insurance industry required2-3 years of experience preparing annuity, insurance applications and transfer paperworkBackground in insurance and investment account processingProficient in Microsoft Excel (including pivot tables), Outlook, and CRM systemsStrong attention to detail and ability to prioritize tasksProfessional, courteous, and client-service orientedCollaborative team player with a proactive mindsetPreferable: Familiarity with prepping insurance and investment applicationsThe Perks: We believe that taking care of our team is the foundation of a strong, thriving organization.
