Executive & Personal Assistant to the CEO (NYC Hybrid)

Our client, a VC-backed startup headquartered in NYC is looking to hire an Executive & Personal Assistant to serve as the CEO’s right hand across both their professional and personal life. This role is a true 50/50 split between executive support and personal assistance, and it owns the systems that keep the CEO operating at full capacity — managing complex calendars, meeting preperation, anchoring follow-through on priorities, and absorbing the personal logistics that would otherwise pull focus from the business.This person will also serve as a trusted point of contact for internal leaders, board members, investors, and external partners on the CEO’s behalf, representing them with discretion, professionalism, and sound judgment in every interaction.This role is ideal for someone with prior experience supporting a C-suite executive in a blended EA/PA capacity who is ready for expanded ownership in a high-growth environment. It is particularly suited for someone who brings strong organizational instincts, an owner’s mindset, and the ability to operate independently across professional and personal workstreams without dropping detail.Key Responsibilities:Executive Support to the CEOManage the CEO’s professional calendar, resolving conflicts proactively and protecting time against the CEO’s stated priorities.Prepare the CEO for every meeting with pre-reads, briefing notes, agendas, and relevant research synthesized in advance.Coordinate and book all business travel, including detailed itineraries, ground transportation, and contingency planning.Serve as a trusted point of contact for internal leaders, board members, investors, and external partners on the CEO’s behalf.Personal Assistance to the CEOManage the CEO’s personal calendar in coordination with their professional schedule, treating both as a single integrated system.Book and coordinate personal and family travel, including itineraries, accommodations, and special arrangements.Handle personal administrative tasks, errands, appointments, and household coordination as needed.Manage personal vendors, service providers, and recurring obligations with the same rigor applied to business operations.Anticipate personal logistics needs before they become urgent and resolve them quietly.Priority & Follow-Through ManagementMaintain and actively manage the CEO’s priority list and to-do system, ensuring nothing falls through the cracks.Track commitments made by the CEO and drive follow-through across internal teams and external stakeholders.Build and refine the operating systems (tracking tools, filing structures, recurring workflows) that keep the CEO’s responsibilities running on rails.Surface patterns, bottlenecks, and risks the CEO would otherwise miss in the noise of a given week.Project Work & Special InitiativesOwn ad hoc project work tied to the CEO’s top priorities, from research and stakeholder coordination to end-to-end project management.Synthesize information across functions and prepare it for the CEO in decision-ready format.Partner with internal leaders to move CEO-sponsored initiatives forward between her direct touch points.Requirements:3+ years of experience supporting a C-suite executive in a combined EA/PA capacity, preferably in a high-growth environment.Proven ability to manage complex, integrated professional and personal calendars without dropping detail.Strong written and verbal communication; comfortable representing the CEO to senior internal and external audiences.Exceptional discretion and judgment in handling sensitive personal, financial, and business information.Highly proficient with Google Workspace (Gmail, Docs, Sheets, Calendar) and quick to learn new tools and systems.Owner’s mindset and a strong bias toward action; operates independently across multiple workstreams and never waits to be told what to do next.Service-oriented with no ego about task size — equally willing to prepare a board pre-read or sort out a personal vendor issue.Connects tasks to broader goals and identifies adjacencies the CEO may not have asked for explicitly.Schedule flexibility for occasional after-hours or weekend responsiveness tied to travel coordination or time-sensitive personal logistics; not expected to be a regular part of the role.Compensation: $80,000 - $100,000Location: based in NYC and able to work onsite 3 days per week.
