Position Type:Secretarial/Clerical/Administrative AssistantDate Posted:4/15/2026Location:Administrative CenterDate Available:05/18/2026The duties listed below are anticipated for this position.Job SummaryProvide clerical support to the Director of Child Nutrition in a manner that is professional, diplomatic, and complies with confidentiality requirements.Essential ResponsibilitiesFood Service Point of Sales (POS) SystemMaintain student eligibility status regarding Free & Reduced Price Meals program and Direct Certification.Process current year Free & Reduced Price Meals program applications and correspondence to parents/guardians.Process deposit or purchase corrections as needed to students' accounts.Process refunds or transfers of student account balances upon as needed.Assist Cafeteria Managers with solving problems with point of sale and any student accounts issues.Assist Director of Child Nutrition Services with the annual application verification process.Food Service PersonnelVerify accuracy and organize employees' payroll timesheets for Director of Child Nutrition Services approval and delivery to the business office for processing.Process child nutrition employee leave of absence requests and vacancies.Coordinate substitute child nutrition employees by maintaining current list, calling/assigning substitutes as needed and informing appropriate cafeteria managers of absences and substitutes.Assist Director of Child Nutrition Services with the hiring process of new cafeteria personnel.Assist Director of Child Nutrition Services Director in the scheduling and coordination of staff training and monthly managers' meetings.Assist in the kitchen/cafeteria as needed based on staffing needs.Special Functions/CateringMaintain the calendar of special functions in the administration center building.Coordinate each function with contact person and appropriate building regarding dates, times, menu, set up, supplies (general/food), etc.Set up and clean up/break down supplies and food pre and post special functions.Prepare and distribute accounts receivable invoice for each function in a timely fashion.Administrative SupportPrepare all accounts payable invoices for department supervisor approval including verification of charges, account codes, and delivery to the business office for payment processing in a timely fashion.Prepare, summarize and maintain records of all accounts receivables including, but not limited to, collection and verification of Point of Sales daily activity reports/bank deposit slips from all buildings and delivery to the business office on a weekly basis to post to the financial system.Prepare negative balance (debt) letters in accordance with the Food Service Administrative Guidelines (Board Policy 808.1).Log employee annual training hours according to the Healthy, Hunger-Free Kids Act of 2010Assist with maintaining a cost effective food service program.Must be willing to be reassigned to unspecified duties when required to meet special needs or emergencies.Other duties as assigned by the Director of Child Nutrition ServicesQualificationsTwo (2) years experience as a secretary necessary, preferably in public educationHigh school diploma or equivalent.Other education/experience as accepted by the school board and administrationAttachment(s):Administrative Assistant to the Director of Child Nutrition 5.2026.pdf
