This position serves as the primary point of contact for the department, interacting with university and college administration, alumni, donors, faculty, students, and the broader business community. The Administrative Associate II will actively coordinate a multitude of faculty functions and schedules, including recruitment, orientation, contracts, merit review, promotion and tenure processes, and financial matters. This role reports directly to the ILSRE Department Head and requires significant discretion and independent judgment in managing office operations, supervising student employees, and interpreting and applying University policies and procedures.Minimum QualificationsHigh school diploma or equivalent and 2 years of related experience.Knowledge, Skills, Abilities and CompetenciesProficiency with Microsoft Office Suite (Word, Excel, Outlook) and key UGA systems (OneSource, UGAMart, etc.)Strong interpersonal, written, and verbal communication skills for effective interaction with diverse stakeholdersExcellent organization, attention to detail, and problem-solving abilityAbility to prioritize multiple tasks, manage time effectively, and work independently with minimal supervisionProfessional demeanor and discretion in handling sensitive and confidential informationPhysical capacity to lift up to 20 pounds and perform various office-related tasks (walking, bending, standing)Physical DemandsWorking in a normal office environment.Financial ResponsibilitiesCredit check required for all positions with financial responsibilities. Background investigation includes a criminal background check, verification of credentials and employment history, and a satisfactory credit check. Pre-employment drug testing may be required for high-risk responsibilities.ResponsibilitiesComprehensive Administrative & Faculty Support (65%) Front Desk & Communications Management: Serve as the main point of contact via phone, email, and in-person visits; respond to inquiries; manage departmental listservs.Faculty & Academic Program Support: Provide general administrative support to the Department Head and faculty; assist with faculty hiring, orientation, scheduling, room reservations, internship coordination, and publication of syllabi.Exams: Coordinate exam processing using the Scantron system; provide exam-day assistance and manage student workers.Department Head Support: Gather annual review materials; prepare promotion and tenure dossiers.Office Operations & Resource Management: Oversee office workflow; maintain departmental files and databases; hire and train student employees; order and maintain supplies, equipment, and printed materials; manage inventory and destruction of old materials.Onboarding & Guest Support: Arrange travel, accommodations, and parking for guest speakers and visitors; assist new faculty and PhD students with onboarding and immigration paperwork.Event Planning & Logistics (10%) Assist with comprehensive event planning and execution for departmental conferences, symposiums, banquets, career fairs, study abroad support, advisory board meetings, and faculty retreats.Support faculty and staff with various program-specific events.Collaborate with student societies to assist with society events.Financial Support (20%) Process departmental financial transactions, including purchases, payments, and receipts through UGA systems.Prepare and process travel authorizations, expense statements, and reimbursement requests.Initiate and manage electronic purchase orders in UGAmart; assist the Terry College Business Office Team Lead with departmental budgets.Other Duties as Assigned (5%) Perform miscellaneous duties as directed by the ILSRE Department Head.Attend trainings to stay updated with UGA policies and procedures.EEO Policy StatementThe University of Georgia is an Equal Opportunity employer.
