Administrative Supervisor

Position OverviewWe are seeking an experienced Administrative Supervisor with a background in public accounting (CPA Firm) or a professional client services environment. This role will lead the administrative team, ensuring consistent performance, managing workflow coordination, and supporting operational efficiency.This is a hybrid leadership role requiring an in-office presence. The Administrative Supervisor will oversee staff while remaining hands-on with scheduling and workflow systems, ideally leveraging experience with accounting software and processes.The ideal candidate is an experienced people manager who brings structure, accountability, and process discipline, with familiarity in CPA firm environments and systems.Key Responsibilities:Administrative Team LeadershipSupervise and support administrative team membersSet performance goals and conduct regular 1:1 meetings and formal performance evaluationsSet and maintain clear performance standards and service expectationsProvide direct, timely, and constructive feedbackAddress performance issues promptly and professionallyCoach team members on workflow efficiency and professional developmentMaintain clear workload allocation and accountabilityWorkflow OversightDirect oversight of all fixed price agreements, change orders and engagement letter preparationMaintain capacity planning and calendar coordinationMonitor administrative turnaround times and workflow throughputIdentify bottlenecks and implement process improvementsPartner with firm leadership to align administrative support with firm prioritiesProcess & Quality ManagementDevelop and maintain administrative procedures and documentationImprove consistency and reduce rework across administrative functionsCollaborate with internal technology and operations teams to streamline processesEnsure cross-training and continuity planning within the administrative teamOther DutiesOversight of the firm's events calendar and planning of key eventsCoordinate front desk support and administrative schedules to ensure customer support functions are managedMaintain time off calendar for Administrative teamQualifications5+ years of experience supervising administrative or service teamsDemonstrated experience conducting performance evaluations and providing corrective coachingStrong organizational and workflow management skillsExperience in a professional services environment preferred (CPA firm experience a plus)Ability to manage multiple priorities in a deadline-driven environmentHigh emotional intelligence and professional communication skillsProficiency with technology, including Microsoft 365 Suite, AI tools and scheduling/workflow toolsWhat We're Looking ForA leader who is comfortable holding standards and managing accountabilityA hands-on supervisor who understands the importance of both people leadership and operational executionSomeone who brings structure, clarity, and consistency to team performanceA calm, steady presence who can support both staff and firm leadershipWhat Success Looks LikeImproved administrative consistency and qualityClear performance expectations across the teamReliable scheduling and workflow coordinationReduced leadership involvement in day-to-day administrative issuesA well-organized, accountable administrative functionCompensation & BenefitsCompensation is competitive and commensurate with experience.
