The Role
The Facility Manager is a hands-on operational leader responsible for the physical condition, safety, and day-to-day functionality of assigned Cubework locations. This is not a desk job—you’ll be walking properties daily, coordinating vendors, responding to tenant needs, managing capital improvement projects, and ensuring every location meets the standard our tenants expect. You’ll work closely with property management, construction, and operations teams to keep buildings running smoothly and tenants satisfied.
Core Responsibilities
Property Operations & Maintenance
Conduct daily walkthroughs of assigned properties to identify maintenance needs, safety hazards, cleanliness issues, and tenant concerns before they escalate
Manage and prioritize all maintenance requests—from HVAC, plumbing, electrical, and dock leveler repairs to general upkeep—ensuring timely resolution through internal staff or approved vendors
Oversee preventive maintenance schedules for building systems including roofing, fire/life safety, HVAC, lighting, plumbing, roll-up doors, and parking lot surfaces
Coordinate and supervise janitorial services, landscaping, pest control, and waste management to maintain professional facility presentation
Manage building infrastructure including loading docks, dock levelers, roll-up doors, smart locks, QR-code access systems, security cameras, and lighting
Prepare facilities for seasonal and weather-related changes (rain prep, heat mitigation, freeze protection)
Tenant Experience & Relations
Serve as the on-site point of contact for tenant facility requests, ensuring responsive and professional communication
Conduct move-in and move-out inspections, documenting unit conditions with photos and written reports
Support tenant onboarding by ensuring units are rent-ready—clean, functional, with working utilities, locks, and access systems
Proactively address tenant concerns to reduce churn and support high occupancy rates
Coordinate shared-space management including common areas, conference rooms, kitchens, lounges, and outdoor areas
Vendor & Contractor Management
Source, bid out, negotiate, and manage relationships with contractors and service vendors for repairs, renovations, and ongoing services
Oversee contractor work quality, timelines, and compliance with building codes and Cubework standards
Manage vendor invoicing, PO tracking, and ensure work is completed to scope before approving payment
Maintain an approved vendor list and solicit competitive bids for recurring and capital projects
Construction & Tenant Improvements
Manage or support tenant improvement (TI) projects including unit build-outs, demising walls, electrical upgrades, lighting installations, and ADA compliance work
Coordinate with construction teams on renovation projects, ensuring timelines, budgets, and quality standards are met
Oversee minor construction tasks in-house where feasible (painting, patching, basic framing, fixture installs)
Ensure all construction and improvement work meets local building codes, permitting requirements, and landlord approval
Safety, Compliance & Risk Management
Ensure all facilities comply with OSHA, fire code, ADA, and local building regulations
Conduct regular safety inspections and maintain documentation for fire extinguishers, emergency exits, sprinkler systems, and alarm systems
Manage security infrastructure including CCTV systems, smart locks, perimeter fencing, and lighting
Respond to after-hours emergencies including water leaks, power outages, security incidents, and tenant lockouts
Maintain incident reports and coordinate with insurance carriers on property claims as needed
Budgeting, Reporting & Administration
Track and report on facility operating expenses, maintenance costs, and capital expenditure budgets
Create and maintain detailed maintenance logs, inspection reports, and vendor records
Collaborate with property management and upper leadership on annual budgets, capital improvement plans, and cost-saving initiatives
Utilize property management software and internal systems to log work orders, track progress, and document completed work
Provide regular status updates and reports to the Director of Operations and CCO
Team Leadership & Coordination
Delegate and oversee tasks for on-site maintenance staff, community managers, and janitorial teams
Train and develop facility team members on Cubework SOPs, safety protocols, and quality standards
Coordinate across departments—leasing, operations, construction, and marketing—to support company-wide initiatives
Qualifications
Required
3–5+ years of facility management, property management, or building maintenance experience in commercial or industrial real estate
Hands-on knowledge of building systems: HVAC, electrical, plumbing, fire/life safety, roofing, and general construction
Proven experience managing vendors, contractors, and service agreements
Strong project management skills with the ability to manage multiple properties and priorities simultaneously
Excellent communication and problem-solving skills with a tenant-first mindset
Proficiency with property management software, work order systems, and basic office tools (Google Workspace or Microsoft Office)
Valid driver’s license and reliable transportation for multi-site travel
Willingness to respond to after-hours emergencies and work flexible schedules as needed
Preferred
Experience in co-warehousing, flex space, or multi-tenant industrial environments
Familiarity with smart building technology (smart locks, QR access systems, IoT sensors, CCTV platforms)
OSHA 10 or OSHA 30 certification
CPM, FMA, CFM, or similar facility management certification
Bilingual (English/Spanish) strongly preferred
Experience with tenant improvement coordination and minor construction oversight

Salary: $70,000 – $82,000 annually, based on experience
