Title: Event Coordinator
Job Description
We are currently seeking an Event Coordinator to join our Experience Management (XM) team.
Expected Compensation: $31.92 - $36.06 per hour
The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
Expected Schedule: Monday - Friday 8 am - 5 pm
Responsibilities
On-Site Events
Manages vendors onsite during scheduled events, ensuring site rules/regulations are being abided
Advise client and vendors on approved floor plan for furniture, food and beverage, event lighting and entertainment
Supervise load-in, installation and load-out of vendors and equipment
Follow the load-in schedule and ensure event preparation does not interfere with the site's normal functions during public hours
Coordinate and communicate event logistics with site team members and vendors
Oversee safety of guests, vendors, staff and the building (checking egress and ensuring cables are taped, etc.)
Act as an on-site liaison for clients and vendors
Problem solve during production setup/tear down and event duration to manage guests, clients, and vendors to deliver a positive experience
Ensure proper OSHA, fire marshal, and public health regulations are followed
Manage/Direct in-house janitorial and security staff
Supervise power runs and have a working knowledge of electrical panels, fire suppression and alarm systems
Manages event tear down ensuring building is left in broom clean condition, client and caterer walkthrough has been conducted and coordinates with in-house security and janitorial personnel for cleaning and closing the building
Proactively work to ensure clients have a positive experience working with the Special Events Department
Availability to work nights/weekends is a prerequisite
Any additional duties as assigned
Ability to coordinate on-site event production, sales and activities in absence of the Events Manager
Administration
Responds to in-person, phone and email event requests from clients in a timely manner
Preparing venue sales packages and pricing options and negotiating with clients
Manage bookings for events and liaising with the clients to determine event requirements
Produce event BEO's
Supervise and schedule all event staffing including janitorial, security, and lighting vendors
Job Qualifications, Education and Experience:
High school diploma or equivalent
3 - 5 years experience in coordinating events and working with staff, vendors, clients and other participants
Customer-service oriented
Organized, detail oriented; demonstrated maturity in judgement and actions
Passionate about providing exceptional service
Calm under pressure, ability to direct staff, guest, and vendors in a level-headed manner in an emergency
Excellent problem-solving skills
Excellent verbal communication skills; tact and diplomacy in dealing with people and handling difficult situations
Has a proven record of dependability and punctuality
Ability to stand for extended periods of time
Ability to lift 50 lb.
