Portables Exhibit Coordinator

Location: Las Vegas, NV (In-Office) Type: Full-Time Department: Client Services Recognized by the Las Vegas Review-Journal as one of Nevada’s Top Workplaces Steelhead is looking for a detail-driven Portables Exhibit Coordinator to support and execute our client-owned portable exhibit programs. This role owns the logistics, documentation, and coordination required to ensure portable exhibits move from warehouse to show floor accurately, on time, and within budget. You will work closely with Account Managers and vendors to eliminate surprises, reduce errors, and maintain strong execution standards across every event. This is a high-volume, deadline-driven role for someone who values precision, organization, and accountability. What You’ll Do Coordinate show services, form submissions, material handling, and transportation for client-owned portable exhibits Prepare accurate estimates for show services, shipping, and warehouse handling Track shipments and confirm on-time delivery to venues Maintain accurate inventory records using Exhibit Force or similar systems Prepare show binders and required documentation to support Account Managers Solicit and compare vendor quotes to ensure competitive pricing and quality service Review and reconcile invoices against approved estimates Coordinate travel and accommodations for Steelhead personnel attending shows Provide administrative and operational support to the Client Services team as needed Other duties as needed Schedule: Monday - Friday, Day Shift. Weekend availability as needed.
