Executive Assistant to the President
PMC Medical Group, LLC (“PMC”) is a leading multi-specialty medical company dedicated to providing exceptional pain management, addiction/ MAT and primary/ family healthcare services. We are seeking a highly organized and proactive Executive Assistant to support our President in driving the company’s strategic initiatives.
This is a Hybrid role with the home office located in Merrimack NH
Key Responsibilities:
Calendar Management: Manage the President’s schedule to current priorities and deadlines including meetings, appointments, off-site events and travel arrangements. Manage preparation materials for meetings, equipment, travel and expenses as necessary.
Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Attend meetings to take notes and follow up on action items.
Communication: Serve as the primary point of contact between the President and internal/external stakeholders. Handle correspondence, emails, and phone calls with professionalism and confidentiality.
Strategic Planning: Assess the urgency and relevance of problems and matters brought to the President’s office and provide recommendations on topics important to achieving PMC’s goals. Stay current on financial targets and strategic goals by preparing monthly provider production reports and taking minutes in all provider meetings with the President. Create systems to improve the President’s workflows and promote productivity. Monitor the President’s KPI dashboard.
Project Management: Assist the President in managing and prioritizing projects by department and implement a bi-weekly review system for ongoing projects to ensure they remain on track and within budget, ensuring timely completion of tasks and initiatives.
Document Preparation: Compile, review, edit and prepare documents, correspondence, and presentations. Independently creates and edits draft material, processes final documents, and arranges for distribution.
Contract Managment & Recordkeeping: Interface with PMC’s Accounting Manager and IT (Information Technology) Director to develop and maintain an organized and efficient contract management and recordkeeping system.
Financial Reporting: Prepare, with accounting, weekly cash flow report for the President. Understand vendor contracts, fixed/ variable costs and basic office budgeting techniques. Communicate weekly/ monthly revenues, expenses and profit, and understand margin improvements.
Research: Conduct research and gather information to support the President’s decision-making process.
Administrative Support: Perform general administrative tasks such as filing, expense reporting, and office organization.
Qualifications:
Bachelor's degree in business administration, Healthcare Management, or a related field.
Minimum of 5 years of experience as an Executive Assistant, preferably in the healthcare industry.
Professional demeanor and ability to defuse sensitive situations in a calm manner
Resourceful self-starter capable of garnering the resources necessary to independently achieve the responsibilities of this position and resolve issues without the President’s assistance.
Ability to communicate effectively and professionally, both verbally and in writing, to both internal and external stakeholders.
Exceptional organizational and time-management skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
EMR/ EHR Experience
Ability to handle sensitive information with discretion and maintain confidentiality.
High level of professionalism and interpersonal skills.
Ability to work independently and as part of a team.
Preferred Qualifications:
Experience in a multi-specialty medical or healthcare environment.
Familiarity with project management tools and software.
Advanced degree or certification in a relevant field.
