Facilities ManagerPosition OverviewWe are seeking an experienced and proactive Facilities Manager to oversee facility operations, maintenance activities, and vendor coordination across multiple locations. This role is ideal for someone passionate about creating safe, functional, and efficient environments while supporting daily operational excellence.The Facilities Manager will lead building maintenance and systems operations, coordinate with vendors and internal teams, and help establish processes, policies, and best practices that strengthen facility infrastructure and long-term operations.This is a full-time salaried position with flexible working hours.Key ResponsibilitiesVendor ManagementCoordinate vendor selection, onboarding, and service scheduling.Supervise vendor work to ensure quality standards and timely completion.Review and process vendor invoices and service documentation.Manage communication with contracted services including janitorial and maintenance providers.Coordinate required inspections and preventative maintenance services such as fire systems and elevators.Building & Equipment MaintenanceRespond to building and equipment maintenance requests promptly.Perform light maintenance and minor repairs when needed.Conduct routine facility inspections to identify and address maintenance concerns proactively.Develop and maintain equipment manuals, maintenance procedures, and operational documentation.Systems ManagementManage building systems including access control, security cameras, and automation systems.Administer user access, permissions, and scheduling within security systems.Troubleshoot building access and security-related issues.Conduct regular audits to maintain system accuracy and security.Support basic operation and monitoring of Building Automation Systems (BAS).Asset ManagementMaintain inventory records for equipment, furniture, and facility assets.Organize equipment manuals, warranties, and service agreements.Coordinate procurement of equipment and facility-related supplies.Track maintenance schedules and warranty coverage.Safety & Emergency ResponseRespond to building alerts related to fire, security, and elevator systems.Coordinate fire drills and emergency preparedness activities.Train staff on safe equipment usage and facility procedures.Support workplace safety initiatives and maintain updated emergency response protocols.Monitor and document facility-related incidents and safety concerns.Collaboration & PlanningPartner with leadership on facility improvement projects and capital planning.Assist with budget planning, expense tracking, and identifying cost-saving opportunities.Provide cross-functional operational support as needed.Required Qualifications1+ years of experience in facilities management, project management, or coordinating large repairs.2+ years of hands-on maintenance or repair experience.Knowledge of building systems including HVAC and access control systems.Strong decision-making and problem-solving skills, especially in emergency situations.Proficiency with Microsoft Excel, Word, and Outlook.Ability to learn and adapt to new building systems and technologies.Ability to work independently and collaboratively in a fast-paced environment.Valid driver’s license with reliable transportation.Preferred QualificationsExperience managing budgets and tracking operational expenses.Experience identifying efficiencies and cost-saving opportunities.Experience supporting multi-site facility operations.Experience working in mission-driven or service-oriented organizations.
