AV Program Planner, AV Services The VersaTech team is looking for a self-starter who likes to work collaboratively with internal and external team members and customers to Plan and Execute Projects and Processes for our Audio-Visual Services Division. The ideal candidate has a background in audio visual, meeting support and execution, and customer service with over 10 years’ experience supporting the planning, delivery, and execution of highly visible projects. They are confident in their ability to conceptualize, plan, and manage Projects and see activities through to completion. They have a proven track record of developing SOPs, developing and refining processes, and communicating and training others for operational success. Finally, the ideal candidate initiates action with VersaTech’s internal operations team as well as Project managers to ensure Project and tasks are carefully planned, monitored, and reported. This ideal candidate possesses a strong administration and program support background with a demonstrated “can do” attitude in supporting Project Managers, employees, and customers in a high-paced environment with a concierge level of customer service. They are well versed in all aspects of back-office software (MS Office 365 and Business Intelligence tools) and can assist in a variety of tasks in support of Project Management. This role focuses on the following critical areas of responsibility: Planning (50%)– Work with the VersaTech Team and PMO as well as customers to carefully plan future projects based on industry trends, business needs, and requirements. This role involves developing estimates and proposals, Proof of Concepts, and providing up-to-date financial reporting, and working hand-in-hand with customers on a regular basis on specific details as well as ‘big picture’ ideas. Project Management and Execution (25%)– In collaboration with the AV Program Team, develop schedules and ‘own’ specific project tasks/phases, or projects in their entirety. This includes collaboration with other vendors, obtaining vendor quotes, overseeing execution, change management, and customer sign-off. AV Operations & Coordination (25%) – As part of this task, you will be the ‘glue’ that holds together out AV Operations, Project Execution, and Solutions teams to ensure that processes are consistent, accurate and realistic. This task also involves procurement functions including obtaining multiple quotes, reviewing for accuracy, QA/QC, and tracking through delivery and receipt. Note that these percentages (%) are an estimate and may vary from week to week based on priority. Location: On-site in College Park, Maryland with option to hybrid work following 90-day review and client approval. Core competencies include: Excellent written and verbal communication skills. Advanced interpersonal skills, able to work with diverse staff and management Energetic and flexible, with a “can-do” attitude Ability to manage electronic filing and change management of all project documents and artifacts. General administrative and coordination capabilities (security badging: project vehicle tracking; IT tablet maintenance; safety equipment distribution; service ticketing support) Capability to complete purchasing/requisition forms. Manages and tracks action items, milestones, deliverables, and risks. Proven experience working with and collaborating with cross-functional teams including Project Managers, Operations Managers, Finance, and Quality Teams. Qualifications: A minimum of 8 years’ experience providing project and/or program coordination or program management activities. High School Diploma or GED required (Associates’ Degree preferred) Experience on governmental programs is a plus. Expert knowledge of “back-office” computer systems; Proficiency in MS Excel, MS Project and Power BI Experience leading the concept, planning, and execution of IT, construction, and/or Audio-Visual projects over $4M Possess a strong background working with multiple contract types: FFP, FPI, T&M, CPAF, CPFF, and hybrid contracts Possess a strong background working with subcontracts and adhering to contractual guidelines. Ability to complete assignments of varying degrees of complexity on time within a fast-paced environment and the ability to learn new processes and tools. Must be analytical, possess excellent communication, presentation skills and has the ability to work independently and as a member of a team.
