Administrative Assistant
Description We are looking for a detail-oriented Administrative Assistant to join our team in West Chester, Ohio. In this Contract to permanent role, you will play a key part in managing client relationships, supporting investment operations, and ensuring administrative processes run smoothly. This position offers an excellent opportunity to contribute to a dynamic and detail-focused environment.Responsibilities:- Respond promptly and courteously to client inquiries, directing requests to the appropriate team members.- Prepare and organize standard materials and documentation for client meetings.- Maintain accurate and confidential client records, ensuring compliance with company policies.- Process investment service requests, including journals, rollovers, and other transactions.- Complete and submit all required investment paperwork to custodians and internal systems.- Generate templated reports and summaries using company software tools.- Update and monitor investment spreadsheets and models to ensure data accuracy.- Oversee administrative tasks such as processing transactions, managing account documentation, and streamlining client onboarding.- Acknowledge client requests within two business hours, providing clear next steps and timelines.- Support compliance efforts by maintaining up-to-date and accurate regulatory records. Requirements - Proven experience in administrative assistance, preferably within a detail-oriented services or financial setting.- Strong ability to manage and prioritize multiple tasks efficiently.- Proficiency in handling data entry and maintaining accurate records.- Exceptional communication skills, both written and verbal, for interacting with clients and team members.- Familiarity with managing inbound calls and receptionist duties.- Experience with investment-related administrative tasks is a strong plus.- High attention to detail, especially when preparing documentation and reports.- Knowledge of compliance standards and regulations in a detail-oriented environment is advantageous.
