With more than 50 office locations, LJA is growing and ready for talented people to help us build our future.Summary: Administrative support for day-to-day activities of the various workgroups.General Responsibilities: Assists with project and department administration and coordination as requiredPrepares letters, memos, reports, proposals, contracts, forms and other business correspondenceEdits documents (e.g., letters, reports, etc.) prior to client submittal. Files correspondence and other documentsInterfaces with accounting to open new jobs and ensure proper billingAssists in scheduling and confirming meetings. Makes travel, conference and seminar arrangementsAssists Vice Presidents with project opening forms and miscellaneous tasksAssists with credit card reconciliationAssists with handling miscellaneous request, office building issues, and coordination of office eventsAssists as backup for ordering routine supplies for office suppliesAssist with scheduling conference rooms for meetings and setup of beverages and foodAssists with troubleshooting pc, tv and soundbar needs in conference rooms for meetingsAssists with troubleshooting issues with printers and plotters prior to service callHandles administrative and reception tasks as and when requiredUses greater judgment and initiative to determine the approach or action to take in non-routine situations.Interprets and adapts guidelines, including unwritten policies, precedents, and practices.Maintain confidentiality in all situations.Required Education/Licenses: Associates Degree preferred or experience in industryRequired Experience:2+ years of experienceStrong Excel, Word, Outlook, Adobe Suite (including InDesign) and PowerPoint knowledgeMust be dependable and possess sense of urgencyPrevious experience in design consulting firm, with graphic skills is strongly desiredExcellent proofreading and editing skillsStrong written and verbal communication skillsAbility to work effectively in a team environment; ability to accurately work under pressure in meeting deadlines
