This role assists with property operations, tenant relations, financial reporting, risk management, administrative functions. The Assistant Property Manager works closely with Property Managers, tenants, vendors, site teams, and internal departments to help ensure operational efficiency, tenant satisfaction, compliance, and the overall success of the portfolio.Key ResponsibilitiesProperty Operations Assist in maintaining assigned properties in excellent operational condition. Partner with site management teams to ensure building systems are properly maintained and tenant needs are addressed promptly. Coordinate property service contracts and vendor relationships, including landscaping, janitorial, and site management services. Identify opportunities to improve operational efficiencies and reduce property operating expenses. Assist in monitoring compliance with property-specific requirements, including those related to ground lessors, lenders, bondholders, and investors. Support capital improvement and maintenance projects as assigned.Tenant & Customer Relations Serve as a primary point of contact for tenant requests and service issues. Assist with tenant onboarding, orientations, move-ins, move-outs, and lease administration activities. Maintain tenant communication and ensure timely resolution of tenant concerns. Manage tenant communication platforms and property-related correspondence. Coordinate tenant-related services with site management and vendors. Support tenant retention efforts by providing responsive, professional service.Financial Management & Reporting Assist in preparing annual operating budgets and forecasting repair, maintenance, and capital expenditures. Assist with accounts payable processing and coding within company systems. Support monthly operational and financial reporting requirements. Assist with annual expense reconciliations and operating expense recoveries. Monitor utility bill-back processes to ensure tenant charges are accurately administered. Support financial tracking and follow-up on property-related expenses.Risk Management & Compliance Maintain current tenant and emergency contact information for assigned properties. Assist in maintaining and updating emergency response plans. Ensure tenant and vendor certificates of insurance (COIs) remain current. Support compliance with lease requirements, company policies, safety standards, and property regulations.Administrative Responsibilities Maintain organized and accurate property files, records, contracts, and documentation. Ensure documents are properly maintained within shared electronic filing systems. Assist with monthly property inspections and preparation of inspection reports. Process tenant requests and follow through to resolution. Coordinate access control requests and related administrative functions. Support internal reporting requirements and cross-functional communication.Qualifications Minimum of three (3) years of commercial, industrial, retail property management and/or association management experience preferred. Experience supporting multiple properties and diverse operational responsibilities preferred. Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word. Experience with Yardi or similar property management software preferred. Working knowledge of building systems, including:Building Automation Systems (BAS)Security systemsAccess control systems Strong written, verbal, and interpersonal communication skills. Basic financial, budgeting, and accounting knowledge. Knowledge of commercial lease administration preferred. Strong organizational, analytical, and problem-solving skills. Ability to prioritize tasks and adapt to changing business needs. Ability to work independently while managing multiple assignments and deadlines. Customer-focused with strong relationship management skills. Ability to maintain confidentiality and exercise sound judgment.Working Conditions This position is based in a professional office environment.
