The company is focused on improving operational efficiency, project organization, scheduling, and customer communication as it continues to grow.We are seeking a reliable and highly organized Administrative Assistant to support the owner/operator with day-to-day administrative operations. This role is ideal for someone who is detail-oriented, proactive, professional, and comfortable managing multiple moving parts within a fast-paced construction and service environment.The Administrative Assistant will help reduce administrative bottlenecks by managing scheduling, project tracking, customer communication, documentation, estimate support, and organizational systems. The ideal candidate is someone who can work independently, communicate professionally, and help bring structure and organization to daily operationsKey ResponsibilitiesManage calendars, appointments, and scheduling across Google Calendar and related systemsCoordinate schedules between team members, subcontractors, and clientsHandle incoming and outgoing client communicationsRespond to customer inquiries and service requests professionally and promptlyMaintain detailed records for active construction and electrical projectsTrack project timelines, milestones, deadlines, and job progressSupport coordination between field teams and office operationsMonitor project budgets, subcontractor costs, and overhead expensesTrack project-related expenses and financial updatesAssist with generating budget reports and project summariesSupport estimate preparation and estimate follow-up processesOrganize contracts, agreements, invoices, and customer recordsMust-Have QualificationsMinimum 5 years of administrative, office support, or related experienceExperience working in construction, contracting, electrical, or trade service industriesBasic accounting or bookkeeping knowledgeFamiliarity with estimates, invoicing, and project budgetingExperience supporting field service or contractor-based businessesFluent English and Spanish communication skills, both written and verbalStrong organizational and time management skillsStrong attention to detail and follow-throughProfessional communication and customer service skillsProficiency with Google Workspace (Gmail, Google Calendar, Docs, Sheets)Comfortable learning and using project tracking or CRM systemsUniversity degreeOther InformationPart-time remote contractor role working approximately 20 hours per weekOpportunity to transition into a full-time role as company needs growOpportunity to grow alongside a scaling construction and electrical services companyDirectly supports the owner/operator and core operationsCandidates will undergo identity verification, background checks, reference checks, logic testing, and communication assessmentsSuccess in this role will be measured by organization, responsiveness, project tracking accuracy, customer communication quality, and operational support effectivenessLong-term growth potential with expanded responsibilities as the company continues to scale
