Sales Assistant The Sales Assistant is responsible for supporting TM Travel Consultants in administrative-related functions, coordinating with guests, agents, and DMC companies relating to any booking-related functions in support of higher sales conversions, service levels, and preparation of all operational components and documents related to a booking.Responsibilities and AccountabilitiesProvide sales support to Travel Consultants as assignedMaintain A&K service and communication standards.Act as a point of contact when the Travel Consultant is not available, including but not limited to vacations, meetings, and trainings.Maintain a good working knowledge of Travel Studio, including all guest profiles and itinerary informationCreate and format proposals for Routings, Signature or custom itineraries products as provided from DMCs, utilizing itinerary "blocks" or as built in Travel Studio. Ensure that inclusions/exclusions accurately reflect terms for all destinations included in the proposal, as well as any special terms.Monitor DMC correspondence to ensure all confirmations have been received for services, and send the final itinerary to DMC to ensure quality controlFollow up with guests/Travel Agents on additional services requested, collect missing information, and itinerary details. Communicate updates to DMC or appropriate partiesMonitor TC Mailboxes for operational actionable items on a daily basisPrepare personalized documentsCreate special inclusions in collaboration with a Travel ConsultantResearch competitive online pricingCoordinate and drive updates with the Travel Consultant on all reportingCollaborate with the Travel Consultant when gaps in services are identifiedEnsure that booking financials are balanced, process payments, all extra services are paid in full, and appropriate notations are made in record regarding booking margins in order to release final documents.Assist Guest Relations when post-tour issues require investigation into historical documentationMaintain a harmonious working relationship with guests, Travel Agent partners, colleagues, and vendorsSpecial projects or other related duties as required.Develop knowledge, skills, and abilities in the areas of:Proper telephone etiquette and sales techniquesWriting skillsAccounting and costing protocol and proceduresGeographyA&K DMCs and Third Party SuppliersSkills and AbilitiesStrong multi-tasking skills and flexibility requiredGlobal Geography and destination knowledgeDetail-oriented with excellent organizational skillsAccuracy with data entry is requiredAbility to work in a team environmentAbility to work independently and within specified deadlinesExcellent verbal/written communication skills and phone demeanorMust be proficient with all Microsoft Office applications and internet search enginesBasic Sabre skills preferredKnowledge of Internet search enginesMust read/write/speak English.
