The Role:
We are seeking a hands-on, detail-oriented Project Coordinator to support our Project Management team and help keep projects moving from kickoff through installation.
You’ll coordinate project details, track progress, and support day-to-day needs across active jobs—working closely with project managers, designers, and production teams to keep everything aligned and on track.
This role is ideal for someone highly organized, proactive, and comfortable managing multiple moving pieces. It’s also a strong opportunity for someone looking to build a long-term career in project management, with exposure to all phases of a project and room to grow over time.
Responsibilities:
Support Project Managers across all phases, from kickoff to installation and strike
Maintain project documentation (recaps, takeoffs, inventory, shipments)
Research and source materials, vendors, and specialty items
Place orders and track deliveries to ensure accuracy and timing
Communicate with internal teams, vendors, and subcontractors
Create setup and instruction packets
Assist with quality control and track project progress
Learn fabrication processes, materials, and methods
Support onsite installations and strikes as needed
Qualifications:
Strong organization, attention to detail, and follow-through
Clear communicator (written and verbal) with strong problem-solving skills
Proficiency in Microsoft Office and Google Workspace (MacOS preferred)
Comfortable managing multiple priorities in a fast-paced environment
Able to perform basic math (fractions) and take measurements
Resourceful with online research and sourcing
Reliable, adaptable, and open to feedback
Physical & Schedule Requirements:
Regular standing/walking; occasional lifting up to 30–50 lbs
Ability to work overtime and weekends as needed
Ability to travel and drive commercial vans
Nice-to-Have:
1+ year of project coordination or related experience (agency, events, production, signage, or fabrication preferred)
Familiarity with fabrication materials (wood, metal, acrylic, foam, graphics, etc.)
Able to read drawings (floorplans, elevations, shop drawings)
