Past and present clients consistently note that our crews collaborate so seamlessly that it can be hard to tell who works for Highland and who works for the client.Job SummaryHighland is seeking a Construction Accounting/Project Admin to manage the administrative, contractual, and financial documentation for construction projects, ensuring compliance, scheduling accuracy, and budget adherence. Key duties include processing permits, change orders, and subcontracts; coordinating with vendors; and supporting project managers to facilitate project closeout.Working closely with project managers, the Construction Accounting/Project Admin monitors budgets, analyzes data, and reports on project profitability. The role also supports the financial health of construction projects by tracking job costs, submitting specialized billing (progress invoicing), overseeing vendor contracts, and ensuring compliance with industry-specific regulations.Key Duties & ResponsibilitiesSkills: Strong attention to detail, organization, communication, and the ability to multitask.Contract Administration: Prepare, review, and track subcontracts, work orders, change orders, and purchase orders; monitor revisions to support accurate billing.Financial & Budget Tracking: Assist with invoicing, verify subcontractor billing, track costs against budget, and process employee reimbursements.Job Costing & Budgeting: Track direct and indirect costs (labor, materials, equipment) against project budgets.Invoicing & Payables: Process subcontractor pay applications and AIA billing; manage accounts payable/receivable; and track lien waivers after payment.Compliance: Ensure subcontractors have current California State License Board licensing, required insurance, and W-9 forms prior to mobilizing onsite; manage certified payroll, lien waivers, and tax compliance.Support: Respond to requests from field employees.Closeout: Finalize project documentation to support timely completion and closeout.Qualification StandardsAssociate or bachelor’s degree in business administration or a related field preferred.1–4+ years of business or construction administration experience; accounting or banking experience preferred.Proficiency with Microsoft Office (Excel, Word) and familiarity with Procore construction software.Typical Work EnvironmentThis position offers potential for advancement within the organization.This is primarily an office-based role, though it may require occasional visits to construction sites.Ability to walk up and down stairs in a two-story building.$25.00 - $29.00 per hourHighland PM, LLC4304 Park Blvd.San Diego, CA 92103
