Education Services Clerk-VLA.50 FTE (2026/27 School Year)Job Category: Classified Support Staff Requisition Number: EDUCA001291 Location: Sage Oak Job DescriptionThe Education Services Clerk is responsible for supporting various student, parent, and staff functions across the Educational Services Department. This role involves managing key administrative tasks, coordinating logistics, and providing excellent customer service to ensure the smooth operation of programs and events. Essential Functions and Responsibilities: Composes and prepares routine correspondence, forms and reports, provides clerical assistance to school-related groups and assists department leadership, as needed Coordinates the distribution of materials Works closely with Business Services to ensure shipments are on track and arrive at their destination in a timely manner. Organizes and manages the workflow of the department, assuring efficiency and quality of administrative support operations. Creates, edits, updates and formats documents in Google Docs, ensuring accuracy in order to meet communication and project needs. Proofreads documents to ensure accuracy and clarity and manage document revisions to track changes and maintain a clear history of edits. Integrate Google Docs with other tools such as Google Drive and Google Workspace apps to enhance productivity and streamline workflows. Relieves the department head of responsible administrative detail; plans, develops, improves, and implements processes to complete assigned projects and ongoing operations of the department office. Conserves supervisors' time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information, initiating telecommunications, and removing supervisors from unnecessary email threads. Maintains confidence and protects operations by keeping information confidential. Monitors and tracks program's budget in Google Docs; approves expenses against program budgets Submits purchase orders, tracks and marks as received Performs record keeping and clerical functions (e.g. copying, faxing, filing, etc) for the purpose of supporting assigned administrator and/or site personnel Updates manuals and all related documents when changes and updates are needed. Attends online and in-person meetings, takes notes, and follows up on reminders as requested by director of education services and director/principal(s) Supports department leadership with execution of tasks, creation of reports, note taking, and other similar tasks Manages sign ups and enrollments in various platforms (enrollsy, google spreadsheets, fieldtrip sign up systems, etc) Maintains and tracks department inventory Assists department with in-person events as needed (e.g. preparation, set-up, check-in, etc.) Responds to inquiries of students, staff, other educational institutions, and/or the public for the purpose of providing information and/or direction as requested Supports the mission and vision of the school in all job functions by supporting, students, parents and staff Other Duties: Responds to all school related written correspondence, phone calls, voicemails, and emails within 24 business hours Refers all formal disciplinary actions involving students and staff to school management ensuring compliance with the school's Uniform Complaint Policy and the school's Uniform Technology Policy; addressing and resolving complaints from students, parents, and staff in a timely manner; and complying with the provisions of California Penal Code Section 11166 (Child Abuse and Neglect Reporting Act) Performs other duties as assigned Qualifications Guide: Education and Experience: Any combination equivalent to graduation from high school and clerical or secretarial experience Two (2) years of related experience preferred Other Qualifications: State and federal fingerprint clearance (LiveScan) to work with students (Ed. Code 44237). No prospective employee can report to work without this clearance being received and Human Resources notifying the immediate supervisor of this clearance. Proof of a clear TB Tine test dated within the last 60 days (Ed.
