Administrative Assistant
Job Overview:As an Administrative Assistant for our SSC Construction, you will play a crucial role in providing administrative support to our President and various departments within the organization. Your responsibilities will include some office operations, handling communication, coordinating schedules, and assisting with project documentation. Your efficient and organized approach will contribute to the smooth functioning of our projects.Responsibilities:Office Operations:Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.Ensure the smooth running of office equipment and arrange for maintenance when necessary.Oversee office cleanliness and organization.Communication Handling:Answer and direct phone calls in a professional manner.Greet visitors and direct them to the appropriate personnel.Handle incoming and outgoing mail and packages.Manage email correspondence and distribute information internally as needed.Schedule Coordination:Schedule and coordinate meetings, appointments, and travel arrangements for management and staff.Maintain calendars, ensuring accuracy and timely updates.Prepare meeting rooms and necessary materials for meetings.Document Management:Assist in the preparation and formatting of reports, presentations, and other documents.Maintain and update electronic and hard copy filing systems.Manage project documentation, including contracts, permits, and compliance records.Administrative Support:Provide administrative support to various departments as needed, including data entry, report generation, and record-keeping.Assist with HR-related tasks such as onboarding paperwork and maintaining employee records.Coordinate with external vendors and service providers as required.Assist with Special Projects:Support special projects and initiatives as assigned by management.Conduct research, compile data, and prepare reports as required.Qualifications:Proven experience as an administrative assistant or in a relevant administrative role.Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.Strong organizational and time management skills with the ability to prioritize tasks.Excellent verbal and written communication skills.Attention to detail and problem-solving skills.Ability to multitask and work efficiently in a fast-paced environment.Knowledge of construction industry terminology and processes is a plus.High school diploma; additional qualification as an Administrative assistant or Secretary will be a plus.This job description outlines the key responsibilities and qualifications for the Administrative Assistant role in our construction company.
