The employee serves to support the building administrator(s) and maintains effective public relations with parents, staff, students and visitors alike.JOB QUALIFICATIONS:Associate's degree or High school diploma or general education degree (GED) with equivalent experience (three years) secretarial/clerical work and/or post high school educational studies in a related fieldKnowledge of school functions, operation and administrationStrong grammar and writing skillsKnowledge in budget and accounting principlesProficient computer skills including Microsoft Office and Google WorkspaceStrong interpersonal relation skills including the ability to maintain strict confidentiality, to work positively with a professional staff with diverse personalities and to interact positively with students, parents and the communityESSENTIAL DUTIES AND RESPONSIBILITIES:The nature of responsibilities listed is a reflection of the job description as a whole but is not limited to the details outlined below.Professionally represent the school and the District in all interactions with parents, community, staff and students including: face-to-face, email, social media and in written communicationsPerform general office duties including answering multi-line phones, monitoring door bell and buzzing visitors in, greeting the public, typing, filing, sorting, scheduling appointments and handling incoming and outgoing mailAssist students and staff with daily needs including but not limited to dispensing or witnessing medication, completing accident reports, giving first aid, completing homework requests, contacting parents, signing students in and out of the building including arrival and departure times, and taking messages for students and staffEstablish and maintain bookkeeping system to ensure an accurate accounting of internal and external monies and accounts; advise principal of accountsOrder supplies, prepare purchase orders, pay invoices, and prepare reimbursements for staff and any other duties associated with ordering / paying for suppliesManage cash balance for internal building accounts and all related activity accounts, cash receipts, expenditures, reports to activity sponsorsManage purchase requisitions and purchase orders, receiving verificationsMaintain building administrative filesPrepare accounting records for end-of-year auditCoordinate programs and activities specific to the middle school including (but not excluding) 6th Grade Camp, Conferences, End-of-Year Award Activities as well as Beginning-of-Year activities and registration/enrollment for the buildingResearch, create, input, format, organize and edit relevant data as needed or requested and prepare in usable format discipline, academic, student assessment data, and manage special projects as assigned by administratorsAppropriately maintain and secure confidential records and inquiries. Maintain confidentiality and adhere to FERPA laws at all times and ensure that the Student Management area is also in complianceAssist with the district audit for pupil accounting; maintain various reports for fourth Wednesday pupil accountingManage and maintain student service dataManage and maintain school administrative files such as teacher evaluations and folders, record and file leave forms, supply teacher requisition forms, sub sheets and folders and time cardsDemonstrate an understanding of the district's mission, vision and strategic priorities and actively works to advance them through daily practice and professional conductContributes to the culture and climate of the district by modeling its core values, fostering a collaborative and inclusive environment and serving as a committed representative of the district's identity and purpose in all interactions with students, families, staff and the broader communityBackup and assist all other middle school secretariesPerform other duties as assignedDEADLINE FOR APPLICATIONS: Tuesday, May 19, 2025
