The role that connects multiple functions across the organization. The position supports oversight of the full lifecycle of importing food ingredients from purchase orders, supporting logistics, freight, sales coordination, operations, quality assurance, and accounting-related tasks. The role is essential in ensuring seamless communication across departments and delivering efficient, high-quality service to customers and vendors.Responsibilities and DutiesPurchasing Support· Communicate with suppliers regarding pricing, availability, and order status· Maintain supplier records, contracts, and product specifications· Assist with purchase order creation, tracking, and documentation· Support inventory planning by monitoring stock levels and lead times· Help resolve discrepancies related to orders, invoices, or shipments· Landed cost calculations· Monitoring commodity market trendsLogistics & Import CoordinationCoordinate inbound shipments with freight forwarders, customs brokers, and warehousesTrack shipments from origin to destination and provide status updates to internal teamsPrepare and organize import documentation (commercial invoices, packing lists, COAs, bills of lading, etc.)Assist with customs clearance processes and respond to documentation requestsSupport issue resolution related to delays, damages, or shortagesFood Safety & Regulatory ComplianceAssist in maintaining food safety and regulatory records (e.g., supplier approvals, COAs, audits)Support compliance with applicable food safety regulations (e.g., FDA, FSMA, HACCP, GFSI standards, as applicable)Coordinate with suppliers and internal teams to ensure compliance requirements are metSupport internal audits, customer audits, and regulatory inquiries as neededAdministrative & Team SupportMaintain organized digital and physical filing systemsPrepare reports, spreadsheets, and summaries for managementSupport cross-functional communication between purchasing, logistics, quality, and sales teamsPerform general administrative tasks as needed to support team efficiencyCustomer Service ExcellenceServe as a primary point of contact for customers throughout the order processAddress inquiries, resolve issues, and ensure a high level of customer satisfactionSales Team SupportKeep the sales team informed of PO/SO status and shipment updatesAssist with customer communications and relationship managementClaims & Issue ResolutionHandle claims promptly and professionallyInvestigate discrepancies and work toward timely resolutionsInterdepartmental Coordination Liaise with operations, sales, accounting, quality control, and management to ensure cohesive workflows Facilitate clear and consistent internal and external communicationQualifications and SkillsExperience & BackgroundPrior experience in purchasing, logistics & Food Safety compliance, or a similar role is advantageousTechnical ProficiencyStrong proficiency in Microsoft Excel, including creating and managing complex spreadsheetsFamiliarity with order management systems or related softwarePrevious experience with an ERP system is highly desirableCommunication & Interpersonal SkillsExceptional written and verbal communication skillsProven ability to craft clear, professional emailsStrong relationship-building skills with internal teams, customers, and freight partnersAnalytical & Problem-Solving SkillsAbility to assess complex situations, analyze information, and implement effective solutionsComfort working with data related to orders, freight, and operationsOrganization & Attention to DetailHighly organized with the ability to manage multiple priorities and deadlinesMeticulous attention to accuracy and detailTeamwork & AdaptabilitCollaborative, team-oriented approach with a willingness to support across departmentsFlexible and resilient in a fast-paced, evolving business environmentPay Range: $75,000 BOEJob Type: Full-time, RemoteBenefits:401(k) matchingDental insuranceFlexible scheduleHealth insuranceVision insurance
