Aprio is a progressive, fast-growing firm looking for a Senior Tax Administrator to join their dynamic team. The Administrative Assistant will provide comprehensive administrative support to multiple partners/managers and staff within the department. The role requires exceptional organizational skills, attention to detail, and the ability to manage various tasks simultaneously. The successful candidate will excel in client communication, calendar management, document preparation, and team coordination. Position Responsibilities:Develop and maintain strong rapport with clients, providing exceptional service and supportCorrespond with clients through written and verbal communication and greet clients in person as neededPrepare, edit, and track engagement letters accurately and efficientlyManage calendar appointments and coordinate meetings for multiple partnersSchedule and organize complex activities such as meetings, travel arrangements, conferences, and departmental eventsCreate, revise, and design PowerPoint presentations for various purposesUtilize CRM tool (HubSpot) to manage prospects and leads efficientlyComplete client setup forms for new clients and engagementsHandle confidential correspondence and files with discretionPrepare expense reports and assist with invoicing and accounts receivable supportProofread and prepare correspondence including client engagement letters and response letters to IRS and various tax authoritiesAct as a change agent for implementing new processes within the department and guide team members accordinglyManage due date reporting to meet IRS/Tax authority deadlinesConduct data management and cleanup of projects in applicationsCoordinate receipt of signed e-File authorizations and follow up on missing forms required for e-filingAssist in the delivery of tax returns not handled by the centralized delivery teamGenerate reports using various programs and create reports in Microsoft Excel with intermediate formulas, charts, and graphsSupport with processing certified mail and coordinate catering for team meetings and eventsScan client documents and consolidate filingParticipate in standby national pool support as neededUndertake ad-hoc tasks and other unique duties as assigned to support the overall objectives of the team and supported leadersQualifications:Previous experience in a similar role within the financial, legal, or professional services industry (preferred)Familiarity with tax-related processes and procedures (preferred)High school diploma or equivalent; additional certification in office management is a plusProven experience as an administrative assistant or relevant administrative role (required)Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) (required)Familiarity with CRM tools, preferably HubSpot (preferred)Familiarity with CCH Axcess, Suralink, Caseware, and CCH Workflow (preferred)Strong interpersonal and communication skills, both written and verbalExceptional organizational and time-management skillsAbility to multitask and prioritize tasks effectivelyDiscretion and confidentiality when handling sensitive informationDetail-oriented with a commitment to accuracyAbility to adapt to changing priorities and work in a fast-paced environmentWhy work for Aprio: Whether you are just starting out, looking to advance into management or searching for your next leadership role, Aprio offers an opportunity to grow with a future-focused, innovative firm.
