The Estate Planning Operations Specialist is responsible for processing outgoing and incoming estate plans. This role may also perform a wide range of support activities to facilitate clients through the estate planning process. This role requires excellent attention to detail and strong written communication skills.Essential Job Functions For This Role IncludeShipping, scanning, and assembling estate plans and other related documentsPreparing materials for client meetingsCoordinating referrals to the Estate Planning group from wealth management teamsAssisting with managing client intake process for Estate Planning team including creation of folders, inputting initial data into CRM, and ensuring all data is accurate and completeCoordinating scheduling of initial client estate planning meetingsAssisting with ad hoc projectsPerforming general administrative tasks, as neededOther duties, as neededKnowledge, Skills, And AbilitiesHigh school diploma or equivalentOutstanding work ethic and a self-starterAbility to meet deadlines and perform under pressure, by prioritizing and multi-tasking in a busy environmentOutstanding communication and organizational skillsProficiency with MS Word, Excel, Adobe and OutlookAble to maintain confidentiality with all mattersHave a “can-do” positive attitude and enjoy being part of a teamAbility to prioritize and multi-task in a busy environmentEager to become an expert in the positionWork ScheduleThis professional role requires availability during standard business hours of Monday through Friday from 8AM to 5PM. At times, the role may have early or late hours to meet business tasks and deadlines for external and internal client needs.All roles classified as a non-exempt are required to record working time into the timekeeping system daily at the start and end of each workday plus a 30-minute unpaid lunch period.Working ConditionsThis position may be in a professional office environment or a dedicated home office workspace which is free of interruptions. Whether position is in a dedicated office space or home office workspace, basic technology needs will be provided to satisfy position requirements. Routinely sitting and standing for periods of time.
