Administrative AssistantThe purpose of this role is to coordinate, organize, oversee, and perform everyday clerical and administrative duties associated with school operations. They also provide secretarial assistance to the principal and serve as a liaison between students, staff, and parents. Essential duties/responsibilities include: Greeting visitors in the front office and directing visitors and parents to correct school personnel Managing front office operations and keeping a clean and organized front office space Managing incoming calls, routing calls to staff or voicemail as appropriate Handling bulk mailings and mail distribution, copying, collating, filling, faxing and sorting activities Maintaining office inventory and ordering and receiving supplies as needed using purchase order requests Recording and reporting daily attendance Maintaining permanent student records and PowerSchool information Processing new enrollments, transfers and withdrawals Providing daily lunch counts to cafeteria manager and distributing monthly lunch menus to teachers Receiving payments, processing credit cards, entering daily deposits and issuing receipts for lunch money, student fees, field trips, etc. Posting lunch payments to student accounts Assisting in collection of student fees and lunch accounts Broadcasting announcements over PA system Assisting in open houses, registration, back to school nights and any other school activities required by administration Maintaining staff rosters Keeping emergency procedure manual and front desk user manual updated Assisting in administrative overflow and special projects as needed Assisting and supporting students and company personnel Job requirements include: Candidate must possess a high school diploma. Associate's degree is preferred Customer service oriented Excellent verbal and written communication skills Competency in MS Office and other office technology Knowledge of office management techniques in an academic environment. Ability to multitask Must be highly organized, attentive to detail and have a strong work ethic. Responsibility: Must be able to function in a team work environment and work independently. Personal work relationships: Work collaboratively with a wide range of colleagues internally as well as external customers. Physical effort: Minimal: lifting and carrying boxes of files for storage (max. 15 lbs.) Working conditions: Clean, secure, and professional office environment.
