Job Description
We are seeking a detail-oriented Human Resources Administrative Support Specialist to provide confidential clerical and administrative support to our Director of Human Resources and, as needed, to Senior Management and the Executive Team. This non-management role supports daily HR operations including payroll and benefits support, data entry, recordkeeping, scheduling, and onboarding coordination.This position works under direct supervision and follows established policies, procedures, and internal controls. The role does not independently interpret policy or make employee relations or management decisions.Essential Duties & ResponsibilitiesService & Professional Standards Deliver consistent, high-quality internal service in support of the Credit Union's mission and service promisesDemonstrate professionalism and behaviors aligned with being Respectful, Resourceful, Attentive, Responsive, Accurate, and AppreciativeMaintain strict confidentiality and integrity at all timesComply with all operating procedures, internal controls, and security requirementsPromptly report suspected policy violations, financial improprieties, or unlawful conductPayroll & Timekeeping Support Perform ongoing timecard maintenance to support accurate payroll processingVerify time entries and assist with post-payroll reportingSupport hourly payroll data entry and audits under HR leadership directionBenefits Administration Support Assist with employee benefit enrollments, terminations, and status changesSupport annual Open Enrollment activitiesAssist with reconciliation of monthly benefits invoices for HR reviewHuman Resources Administrative Support Provide administrative support to the Director of Human Resources, including preparation of correspondence, reports, spreadsheets, and formsScan, copy, file, mail, and distribute documents (physical and electronic)Prepare new hire packets, onboarding materials, and training documentationMaintain accurate employee records and HR filesProcess personnel data changes including address, name, job title, and exemption status updatesRecruitment & Onboarding Support Schedule interviews and send confirmationsConduct reference checks and coordinate background, credit, criminal, and bondability screeningsProcess new hire and termination documentation in payroll and performance management systemsVerify employment eligibility through E-Verify and maintain I-9 documentationTracking, Reporting & Scheduling Track employee evaluation timelines (30/60/90-day, six-month, and first-year reviews)Notify managers of upcoming evaluation deadlines and follow up for completionMaintain the company vacation calendar and assist with PTO processingPrepare bi-weekly attendance and punctuality reportsEvent & Program Support Assist with planning and coordination of HR initiatives including Open Enrollment, training days, and employee meetingsOther Duties Provide administrative support to Senior Management and Executive Team as assignedPerform other duties as neededQualifications Education & ExperienceHigh School Diploma requiredBachelor's degree in Human Resources or related field OR at least two (2) years of HR support experienceMinimum two (2) years of experience using ADP Workforce NowMinimum three (3) years of clerical or administrative experienceSkills & AbilitiesExceptional attention to detail, accuracy, and organizationStrong written and verbal communication skillsProven ability to handle confidential information with discretionProficiency in Microsoft Office and related systemsAbility to manage multiple tasks and meet deadline s in a fast-paced environmentSelf-motivated and effective with limited supervisionPositive, service-oriented attitude and professional presentationAbility to uphold and support the Credit Union's Service Mission and Promises
