The ideal candidate will be proactive, organized, and customer-focused, with strong administrative and accounting support skills.Ideal Candidate QualificationsMinimum 5 years of experience in administration, customer service, or order processingStrong understanding of accounting principles (A/P, A/R, invoicing, etc.)Highly organized, detail-oriented, and capable of managing multiple responsibilities without oversightTakes initiative and ownership of tasks beyond assigned duties to support overall company successPossesses excellent problem-solving skills, able to resolve issues independentlyDemonstrates a positive, customer-first attitude—every phone call answered with a smile in their voice and a commitment to excellent serviceThrives under pressure and handles multiple priorities efficiently and effectivelyProficient in Microsoft Word, Excel, internet navigation, and able to quickly learn custom Windows-based enterprise softwareBilingual in English and Spanish preferred (not required)Inventory management experience is a plusKey ResponsibilitiesDuties May Include, But Are Not Limited ToPrimary responsibility in Accounts Payable, Accounts Receivable, or InvoicingPerforming general administrative dutiesResponding to customer inquiries, ensuring prompt resolution of issuesTracking workflows and holding team members accountable for task completionAnswering phones, taking and processing customer orders, directing calls, and taking messagesCommunicating clearly with customers, coworkers, and vendors to relay information and resolve issuesOrganizing and maintaining customer files; matching picking tickets, delivery documents, and filing completed ordersEntering and monitoring claims for returns, cancellations, and damaged itemsIssuing purchase orders for approved company expensesResponding to customer requests for certificates of liability insurance or proof of workers’ compensation coverageCollaborating closely with the warehouse team to manage and spot-check inventoryWork HoursMonday – Friday | 8:00 AM – 5:00 PMAdditional hours may be required to meet deadlines and business needs.BenefitsWork with a dynamic team, Holiday pay, 2 weeks VTO, 1 week STO, Retirement Match Plan after 1 year, Health, Dental, and Vision Insurance available
