Their expertise spans a variety of sectors, including restaurant/retail, hospitality, office spaces, and complex exterior work, as well as mid-level ground-up construction.About the RoleWe are seeking an energetic, self-motivated team member who possesses superior attention to detail and communication skills to join as a Bid Coordinator. The ideal candidate is a self-starter, can work independently, solve problems, meet deadlines, and understand priorities. Successful candidates will be expected to manage multiple proposals (dependent on size), and these estimates will include multiple stakeholders (Client, Subcontractors, Design / Engineering Team, Construction Manager, etc.). This position oversees all aspects of the estimate, including reviewing and submitting bid documents, quantifying, and qualifying material quantities and preparing an accurate bid proposal.ResponsibilitiesAssisting with the preparation of accurate, complete, and competitive bid packages.Drafting and tracks Pre-Bid RFIs on behalf of Estimators.Creating calendar invites for bid-walks, Sub-walks, RFI's, mid-bid meetings, bid close meetings and bid submission.Assembling bid binders and file structures and keeping up-to-date information in them ready for the Estimator's review.Participating in the pre-construction process through hand-off to assigned Project Management Team.Soliciting competitive bids from qualified subcontractors and suppliers.Completing basic square foot and linear foot take-offs to confirm material quantities.Communicating with internal and external sources and be ready to work flexible hours to ensure bid submission deadlines are met.Organizing and file necessary information such as, plans, bidding manuals, specifications, addenda and revisions.Printing all drawings, Requests for Proposals (RFPs) any other bid documents for the Estimator, while confirming printing is complete and packaged correctly.Generating and maintaining document logs for all prospective projects.Coordinating proposal creation and submissions with Marketing Department.Engaging with potential new Subcontractors to obtain Pre-Qualification package and verify references, while scheduling introductory meetings on behalf of the Pre-Construction Team.Maintaining Subcontractor database, inclusive of current contact information and certifications.QualificationsAt least two years of administrative experience.Excellent organizational, problem solving, presentation, interpersonal, verbal and written communication skills.Required SkillsProficient with the following software applications (at a minimum):Microsoft Office (Word, Excel, Outlook, etc.)Adobe Acrobat, Blue Beam Revu or other PDF developers/editorsEither proficient with or willing to learn the following software applications:BuildingConnectedOn-Screen Take-offPreferred SkillsAcceptable industry experience includes prior work experience:Construction (General Contractor, Construction Manager, Subcontractor)Project Management / Owner's RepresentationDesign (Architecture, Engineering, etc.)Pay range and compensation packageCompetitive benefits package includes:Competitive Salary401(k) Retirement PlanBonusComprehensive Group Medical Insurance: Health, Dental, Vision & LifePaid Leave of AbsenceTransportation AllowanceProfessional Training & Career DevelopmentIn-House Wellness CenterCatered Lunch Bi-WeeklyDog-Friendly OfficeIf this position sounds right up your alley, apply today!
