DescriptionPosition Summary:The Building Coordinator is responsible for coordinating clinical and operational workflows within the facility, with a primary focus on intake management, bed utilization, and real-time service coordination. This position serves as the bridge between clinical teams and building operations, ensuring timely access to care, efficient patient flow, and alignment between internal teams and external referral sources.Primary Job Duties And Responsibilities Intake & Clinical CoordinationCoordinate all incoming referrals (internal and external) and manage intake scheduling. Collaborate with clinical staff to align admissions with level of care (ASAM-informed). Assist with completion of admission paperwork and administrative onboarding processes, ensuring all required documentation is completed and routed to appropriate clinical staff. Ensure completion of required documentation, including administrative intake forms, releases, and coordination of clinical assessments by appropriate staff. Bed Management & Patient FlowMaintain real-time awareness of bed availability across programs (ATC, WRH, CSU, etc.). Coordinate admissions, discharges, and transfers to optimize capacity and utilization. Serve as the primary point of contact for bed assignments and placement decisions. Collaborate with nursing, clinical, and case management staff to anticipate and respond to capacity needs. External & Internal CoordinationAct as a liaison with hospitals, law enforcement, courts, and other referral partners. Coordinate continuity of care between levels of service. Ensure smooth handoffs from intake through admission and engagement in treatment. Support communication between front office staff, clinical teams, and leadership. Operational Oversight & Staff SupervisionThe Building Coordinator provides both operational oversight of building workflows and formal supervision of designated support staff, ensuring alignment between clinical operations and administrative functions. Operational Workflow OversightOversee front office workflows, including intake coordination, scheduling, and client flow from admission through discharge. Ensure efficient communication between front office, clinical staff, and leadership. Monitor documentation processes to support accuracy, timeliness, and compliance. Identify workflow inefficiencies and implement improvements to enhance access to care and service delivery. Maintain a safe, clean, organized, and functional facility environment. Performance Management & AccountabilityFor Assigned Staff, The Building Coordinator Is Responsible ForCoordinating and completing formal employee evaluations in accordance with agency policy Tracking and managing staff performance improvement plans (PIPs) Monitoring attendance and addressing attendance-related concerns Managing employee relations issues and escalating as appropriate Coverage & Continuity of OperationsEnsure adequate coverage of essential functions, including front office, intake coordination, and support services Provide or arrange back-up coverage during staffing gaps Balance staffing resources to maintain uninterrupted clinical and operational services Support implementation of Continuity of Operations Planning (COOP) procedures at the facility level Support & CoverageProvide support on the unit during periods of high demand. Facilitate or support non-clinical groups and engagement activities. Quality, Compliance, and DocumentationEnsure completion of required screenings (e.g., PHQ-9, SDOH, NOMS) as applicable. Support utilization review and documentation compliance. Maintain adherence to confidentiality standards, mandated reporting laws, and duty to warn. Assist with audits, reporting requirements, and quality improvement initiatives. Facility & Program IntegrationSupport alignment of workflows across programs to reduce barriers to access. Participate in program development and process improvement initiatives. Assist leadership in implementing operational improvements across the facility.RequirementsExperience Requirements:3 to 5 years in a managerial position. Demonstrated understanding of: Supervisory or management experienceDemonstrated Experience InCoordinating workflow operations and staff coverageManaging high-volume service environmentsOverseeing intake, scheduling, or client flow processesAbility to:Make real-time operational decisionsManage staff performance and accountabilityMaintain facility operations and safety standardsPreferred QualificationsExperience in behavioral health or substance use treatmentLicensed or credentialed behavioral health professional (LPC, LMSW, LAC, etc.) Experience in residential or crisis settings Experience coordinating admissions, intake, or bed management Familiarity with Credible EHRSkills & Abilities RequirementsAbility to make real-time decisions in a fast-paced environment Strong organizational and problem-solving skills Effective communication with both clinical and non-clinical staff Ability to balance competing priorities while maintaining workflow efficiency High level of accountability and ownership of operational outcomesPhysical RequirementsAbility to move throughout the facility and respond to unit needs Ability to participate in crisis intervention (MOAB training required) Prolonged standing, walking, and occasional physical intervention supportGuardrails On Role ScopeSupervisory responsibilities are limited to assigned support staff and are designed to support operational and workflow efficiency within the facility. This role provides oversight of operational processes that impact clinical service delivery, including intake coordination, patient flow, and staffing coverage, but does not provide direct clinical supervision.The Building Coordinator is responsible for coordinating and supporting clinical operations, ensuring timely access to care and efficient movement of clients through services. Clinical decision-making, including assessments, diagnoses, treatment planning, and level-of-care determinations, remains the responsibility of licensed or otherwise qualified clinical staff.The Building Coordinator does not conduct clinical assessments, make diagnostic determinations, or provide therapeutic interventions.
