The Coordinator will play a central role in enabling the Chief's day-to-day operations through calendar management, meeting preparation, correspondence drafting, document production, and project tracking. This position reports to the department's Project Manager and will support the coordination and execution of department projects and initiatives.This is a non-exempt position with normal hours of 8:30 a.m. - 5:00 p.m., Monday through Friday. Additional hours are expected, and subject to overtime.PRIMARY RESPONSIBILITIESProvide direct administrative and executive support to the Chief of Talent and Strategy, including calendar management, daily scheduling, meeting preparation, and proactive organization of materials, agendas, and briefing packets, ensuring she is organized and prepared — particularly during high-volume periods, travel, or in advance of important meetings.Draft, edit, and proofread a wide range of communications including announcements, memos, meeting recaps, and routine correspondence, adapting tone and voice as appropriate.Collaborate with internal departments including Marketing, Finance, and Communications to support the execution of firm initiatives, ensuring alignment with leadership's voice and tone.Coordinate logistics for recurring and ad hoc meetings and events, including multi-day programs, internal committee meetings, and large-scale firm gatherings, managing scheduling, catering, materials, and attendee communications.Produce and maintain recurring reports, trackers, and data summaries as directed, compiling information from multiple sources and distributing to relevant stakeholders on a regular cadence.Create, format, and proofread presentations, spreadsheets, and reference materials for the broader team, including materials for leadership meetings, orientations, and department events.Coordinate special projects and support departmental initiatives as assigned, including event logistics, cross-functional coordination, and preparation of materials for talent and organizational development programs.Develop and maintain a broad working knowledge of firm operations, practices, and organizational structure to effectively support and anticipate the needs of department leadership and the broader team.KEY EXPERIENCE AND SKILLSHighly motivated self-starter with strong initiative, the ability to work independently, and a desire to continuously learn and grow.Strong academic credentials and undergraduate degree, with interest an in the legal industry and professional services environment.Excellent verbal and written communication skills, with the ability to clearly articulate concepts and direction and adapt tone as needed. Strong organizational, prioritization, and multitasking skills, with the ability to manage concurrent projects and tasks in a fast-paced, fluid environment.High emotional intelligence with the ability to navigate a political work environment when dealing with senior leaders and partners.Must be results-oriented, dependable, and demonstrate strong attention to detail and customer service attributes.Professional with a deep awareness and commitment to confidentiality.Analytical thinker with strong problem-solving skills and sound business judgment.Comfortable and experienced with virtual meeting platforms, including screen sharing, breakout rooms, and polling features.Experience using Microsoft Office Suite with emphasis on Outlook, Word, Excel, and PowerPoint.DisclaimerAdditional DutiesThis job description is intended to provide a general overview of the primary duties and responsibilities for the position. The anticipated pay range for this role is $58,000-$80,000 in Chicago. The actual offered rate for this position will be determined based on several factors, including qualifications and experience, geographic location, education, external market data, and consideration of internal equity.
