Buildings & Grounds Administrative Assistant
White Sands, a HumanGood life plan community (CCRC) in beautiful La Jolla, CA, is seeking a full-time Administrative Assistant to join our Buildings & Grounds team. As the largest nonprofit owner/operator of senior living communities in California and one of the largest in the country, we are more than just a place to work. You would develop awareness of residents' interests and needs and assist residents to maximize their independence.
Shift: Full-Time Monday-Friday 8am-5pm with an hour lunch
Pay Range: $21-$24/hr. based on experience
To be successful in the role, you would have:
At least one year of clerical experience, or any equivalent combination of training and experience which provides the required skills, knowledge, and abilities.
High school diploma or equivalent
Some college coursework or vocational school courses emphasizing clerical skills, including transcribing, alphabetizing, filing, word processing, spreadsheets, tables and scheduling;
You would be responsible for providing Administrative Support to our Buildings & Grounds Department:
Act as a liaison between departments for coordination of services;
Prepares letters of correspondence, memorandums, reports, forms, invitations, and flyers
Send out notices for meetings
Creates agendas, prepares minutes, and distributes reports and materials for various meetings as required, using appropriate software
Coordinates and updates the Director of Buildings & Grounds schedule and calendar
Coordinates and updates Room Bookings relating to resident/department events, which includes creating work orders for event set-ups and breakdowns
Schedules and coordinates staff and resident committee meetings; completes scheduling notifications
Organizes and manages an administrative filing system to maintain federal and state regulations and other required administrative documents
Maintains department office supplies
Monitors and maintains supplies for the Resident Business Center
Maintains confidentiality of information in conformance with HIPAA regulations
Performs related essential duties as required
