We are systematically expanding our retail footprint across the US and scaling our international distribution across the EU, UK, Middle East, and Asia. As our Operations & Sales Associate, you will report directly to the Founder/CEO, working closely with our internal management teams and external partners to turn ambitious retail and international expansion strategies into seamless operational realities.3.) Key ResponsibilitiesInternational Distributor ExecutionOnboard New Distributors: Own the end-to-end outreach and onboarding process using existing playbooks—managing contract tracking, sample shipments, compliance documentation, marketing asset handoffs, and first-order coordination.Manage Active Relationships: Direct day-to-day distributor communications, handle reorder cadences, process orders, coordinate shipping, and conduct monthly check-ins.Pipeline Tracking: Maintain a monthly pipeline (leads $\rightarrow$ signed $\rightarrow$ first order $\rightarrow$ reorder) to ensure clear visibility for leadership.Compliance Coordination: Collaborate with the Product Development Manager on country-specific requirements, including CPNP for the EU, UK Responsible Person registration, and regional cosmetic certifications.Relationship Management: Act as the central point of coordination between the company and international distributors, assisting the Founder and sales leadership with contract terms and pricing.US Retail Operations SupportAccount Onboarding: Partner with our retail broker on new item setup forms, EDI testing, planogram coordination, sell sheet distribution, and sample fulfillment.PO Flow Management: Assist with order receipts, fulfillment coordination, reorder tracking, and velocity reporting by store door.Performance Monitoring: Track core retail metrics like doors open, units per store per week, and reorder rates to flag underperforming accounts early.Product Launches: Support the introduction of new product launches into the retail space alongside the Product Development Manager.Inventory & Logistics Coordination (Channel-Specific)Stock Allocation: Coordinate inventory allocation for international distributor orders and US retail POs by working with the Operations Manager on production timing and stock levels.Logistics Assistance: Help coordinate information across freight, 3PL providers, international shipments, and retail load-ins.Timeline Tracking: Monitor timelines across production, shipping, and delivery for distributor and retail orders to identify and mitigate risks early.Documentation, SOPs & ReportingProcess Documentation: Document every repeatable process in your scope, including distributor/retail onboarding, reorder management, sample fulfillment, and freight management.Records Library: Maintain an organized, clean records library containing contracts, vendor agreements, compliance certifications, distributor minimums, and reorder commitments for external parties.Weekly Summaries: Produce a weekly operations and sales summary covering international pipeline status, retail onboarding progress, and inventory or shipping risks.Business Reviews: Prepare materials for distributor check-ins and quarterly business reviews, proactively bringing solutions to leadership when issues surface.4.) Must-Have RequirementsExperience: 3–6 years of experience in CPG operations, international distribution coordination, supply chain, or retail account management.Execution Focus: Comfortable owning outcomes and managing execution across multiple workstreams without losing the thread; organized by nature, not by force.Communication: Strong written communication skills to deliver professional, clear follow-ups to distributors, retail buyers, and internal partners.Drive: Self-directed mindset—you ask sharp questions, then proactively run operations without waiting to be told what to do.Adaptability: Comfortable navigating ambiguity and the rapid rhythms of a founder-led, growth-stage business.5.) Nice-to-Have RequirementsCPG Background: Direct experience in consumer packaged goods, specifically within the personal care, baby/kids, or beauty sectors.US Retail Launch Experience: Prior experience supporting US retail launches, including item setup forms and broker coordination.Amazon Familiarity: Familiarity with Amazon Seller Central operations.6.)
