Head of Projects

We are seeking a motivated, results-driven Head of Projects to lead and oversee all Project Management, Permitting, and Licensing functions across the organization. This role is responsible for ensuring project efficiency, standardization, compliance, and successful execution across all locations. The Head of Projects will oversee all Project Managers and the Permitting & Business License Manager, ensuring seamless project delivery from sales handoff through project completion. This position reports directly to the Senior Director of Operations and Sales.
Duties & Responsibilities
Strategic Leadership & Governance
Develop and implement Ziglift’s project management strategy, aligning department goals with company objectives.
Establish and enforce project governance frameworks, best practices, and standard operating procedures across all offices.
Oversee the planning, execution, and delivery of complex, multi-site projects, ensuring consistency and excellence in execution.
Provide regular reports and performance insights to the executive team, highlighting outcomes, risks, and improvement opportunities.
Lead initiatives to transition permitting and licensing functions in-house, reducing reliance on external service providers.
Project Oversight
Supervise all aspects of project execution to ensure adherence to budget, timeline, and quality expectations.
Coordinate project interdependencies across business units, ensuring clear communication between Sales, Permitting, Engineering, and Project Management.
Implement metrics and KPIs to measure departmental performance and efficiency.
Develop and refine workflows, ensuring a consistent process for project handoffs and client communication.
Drive continuous improvement in project delivery, documentation, and customer satisfaction.
• Provide oversight and accountability for all project management operations within ClickUp, ensuring data accuracy, progress visibility, and consistent execution across all projects.
Team Leadership & Development
Develop and set direction for the Project Management and Permitting teams to ensure consistent execution and accountability.
Build a high-performing, accountable team culture centered on collaboration, quality, and ownership.
Establish training and development programs to strengthen the team’s technical and management capabilities.
Oversee staffing, performance reviews, and professional development of team members.
Stakeholder & Client Management
Act as the senior point of contact for project-related escalations, client issues, or complex challenges.
Maintain strong relationships with customers, vendors, and internal stakeholders.
Partner closely with the Sales and Operations teams to ensure seamless coordination from project inception through completion.
Foster transparency, communication, and trust with all project stakeholders.
Financial & Resource Management
· Develop, manage, and monitor department budgets, ensuring financial efficiency and accountability.
· Oversee project cost control, resource allocation, and vendor contracts.
· Support financial forecasting and reporting in collaboration with the Finance Department
Risk Management & Quality Assurance
· Identify, assess, and mitigate project risks and operational bottlenecks proactively.
· Ensure compliance with all regulatory, legal, and corporate safety requirements.
· Establish quality assurance standards and conduct periodic reviews to ensure project excellence.
· Oversee and perform site audits and contractor verifications, ensuring all work meets safety regulations, quality benchmarks, and project scope requirements
Contractor Licensing & Vendor Compliance
· If qualified, oversee our state contractor licenses.
· Assist with the qualification of vendors ensuring compliance to industry standards, laws and safety regulations.
Qualifications and Skills
· Bachelor’s degree in Construction Management, Engineering, Business Administration, or related field (preferred).
· 6+ years of experience in project management, construction, or material handling, with at least 4 years in a senior leadership role.
· Proven ability to lead and develop cross-functional teams.
· Strong understanding of permitting, contractor licensing, and compliance requirements across multiple states.
· Excellent communication, negotiation, and organizational skills.
· PMP certification or equivalent preferred.
· Ability to travel as required for licensing and site oversight.

Salary: $130,000–$170,000 per year

Pay: $130,000.00 - $170,000.00 per year
