Accounting Executive AssistantHeritage Golf Group is seeking a highly organized, polished, and proactive Accounting Executive Assistant to support both corporate accounting operations and executive leadership. This role serves as a key administrative and operational partner within the corporate office, balancing accounting coordination, executive support, office management, and employee engagement responsibilities.The position is primarily responsible for corporate accounts payable administration, employee expense report processing, and executive support for senior leadership, while also assisting with office operations and employee engagement initiatives.The ideal candidate is detail-oriented, professional, resourceful, and capable of handling confidential and sensitive information with a high level of discretion. This individual should thrive in a fast-paced environment, effectively manage multiple priorities, and maintain a positive, team-oriented approach.Essential ResponsibilitiesCorporate Accounting & Accounts PayableManage full-cycle corporate accounts payable processes, including invoice receipt, coding, approvals, data entry, payment processing, and vendor communicationProcess and audit employee expense reports for accuracy and policy complianceReconcile vendor statements and resolve invoice discrepancies in a timely mannerAssist with acquisition banking setup and related administrative processesSupport payroll-related administrative requests as neededMaintain organized accounting records and supporting documentationProvide general administrative support to the accounting team and assist with month-end close activities as neededExecutive SupportProvide administrative support to executive leadership, including calendar management, scheduling, and meeting coordinationPrepare presentations, reports, board materials, and other business documentsMonitor and prioritize executive communications and assist with email managementCoordinate travel arrangements and itinerariesHandle confidential, sensitive, and time-sensitive matters with professionalism and discretionSupport executive recognition initiatives and morale-building activitiesMaintain professional relationships with external partners, vendors, and industry organizationsOffice Management & OperationsCoordinate office supply ordering and vendor account maintenanceServe as liaison for building maintenance requests and office-related servicesAssist with management of office leases, storage organization, parking access, and key fob requestsCoordinate onboarding materials for new corporate employees, including business cards, nametags, welcome materials, and office setup itemsAssist with Heritage-branded merchandise and office inventory managementCoordinate catering and meeting logistics for corporate meetings and financial reviewsSupport general office organization and day-to-day operational needsEmployee Engagement & Culture SupportSupport employee engagement, office culture, and morale initiativesAssist with internal office communications and team support activitiesHelp foster a positive, professional, and team-oriented office environmentQualifications3+ years of administrative, executive support, accounting support, or related experience preferredExperience with accounts payable and expense report processing requiredIntermediate Microsoft Excel skills required, including formulas, sorting/filtering, and basic reporting functions; pivot table experience preferredProficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPointStrong organizational skills with exceptional attention to detail and follow-throughAbility to manage multiple priorities and meet deadlines in a fast-paced environmentExcellent written and verbal communication skillsProfessional appearance, demeanor, and conduct requiredAbility to maintain strict confidentiality and exercise sound judgment when handling sensitive informationPreferred AttributesPositive attitude and team-first mindsetStrong customer service orientationSelf-starter with the ability to work independentlyFlexible and adaptable in a growing, evolving organizationStrong interpersonal skills with the ability to build relationships across all levels of the organization
