Billing Assistant

ResponsibilitiesManage the full monthly client billing cycle, including prebills, invoice preparation, revisions, approvals, posting, and distributionCoordinate e-billing submissions, monitor billing workflows, and resolve billing discrepanciesReview and process transfers, write-offs, fee arrangements, and billing adjustments in compliance with firm policiesMonitor Work in Progress (WIP), aging reports, fee caps, and billing goals to ensure accurate and timely billingEnsure compliance with client billing guidelines, outside counsel agreements, and matter-specific requirementsSet up and maintain accurate billing information for new matters, including rates, billing codes, discounts, and file detailsMaintain billing documentation and records within the firm’s document management systemCommunicate proactively with billing partners, attorneys, clients, and internal teams regarding billing matters and inquiriesPrepare billing forecasts, reports, and analyses as requestedEscalate billing issues to management when necessaryQualifications0-2+ years of legal billing experience in a law firm or professional services environmentBachelor’s degree in Business, Accounting, Finance, or related field preferredStrong analytical, organizational, problem-solving, and time management skillsExcellent written, verbal, and interpersonal communication skillsDetail-oriented with the ability to manage multiple priorities in a fast-paced environmentProficiency in Microsoft Office, e-billing platforms, and document management systemsAbility to work independently and collaboratively with minimal supervisionFlexibility to work outside standard business hours as neededAbility to comply with the firm’s hybrid/agile working policy requiring in-office attendance at least three days per weekThe Phoenix Group Advisors is an equal opportunity employer.
