Administrative Assistant for the Sherriff's Office
OVERALL OBJECTIVE OF JOB
The purpose of this position is to assist the administrative staff with the daily operations of the Sheriff's office warrant division and supervise civilian staff.
ESSENTIAL FUNCTIONS OF JOB
Supervises and trains Warrant Division Accounts Clerks.
Serves as the Sponsor, Registrar and JTAC (JNET Terminal Agency Coordinator) managing JNET (Justice Network) accounts for all Sheriff's Office Law Enforcement Staff and warrant clerks
Creates/Suspends/Updates all JNET Users as they are hired or leave the office. Runs audits on all JNET users annually for misuse and takes required steps.
Monitors NCIC (National Crime Information Center) computer operations in conjunction with the Pennsylvania State Police
Retrieves information from files, computer data bases, and indexes to aid Law Enforcement Administrative Staff and outside law enforcement agencies, local and nationwide
Updates files, indexes, computer databases, dockets and other record systems, adds new records/information (including NCIC computer operations)
Makes copies of documents, forms, maps, files, or other materials using appropriate copying equipment
Maintains records and statistical information on computer, reviews audit trails, corrects errors or discrepancies, and prepares reports as required
Enter, hold, sort, and close out the various types of cases (including NCIC computer operations, warrant vacates, and warrant billing)
Answer telephones, takes messages, routes calls, and/or provides some information

Attends meetings, trainings and seminars as required.
Performs other job-related duties as required.
SUPERVISION RECEIVED
Receives occasional daily instruction and supervision from Lieutenant and Sergeant of warrant division.
SUPERVISION GIVEN
Supervises warrant clerks.
WORKING CONDITIONS
Works indoors in adequate office space with adequate temperature, ventilation and lighting.
Normal indoor exposure to dust/dirt and noise/vibrations.
PHYSICAL/MENTAL CONDITIONS:
Must possess the ability to record, convey and present information, explain procedures and follow instructions.
Must be able to stand, walk, and sit frequently during the workday, with occasional sitting, twisting, bending, kneeling, stooping, and reaching as necessary in order to carry out essential job duties.
Requires very coordinated dexterity of fingers/hands, arms/legs/torso as necessary to carry out job duties.
Sedentary work, with occasional lifting/carrying of objects with a maximum weight of up to 10 pounds.
Must be able to physically and mentally react quickly in the event of a disturbance or physical outbreak.
Must have agility to be able to move frequently throughout the work day.
QUALIFICATIONS
To do this job successfully, an individual must be able to perform each essential duty satisfactorily. Good typing and computer skills are necessary. A clean criminal history and the ability to pass a drug screening are required. EDUCATION/TRAINING:
High School diploma or equivalent required.
College degree preferred
WORK EXPERIENCE
1 year of work experience in an office environment. Prior law enforcement experience/training preferred.

Must be able to speak and understand the English language and to follow oral and written instruction.

Must possess ability to maintain confidentiality in regard to Department information and records.
Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed.
Must possess the ability to maintain accurate records and information as required and to prepare and submit required reports in a timely manner
