Patient Service RepresentativeClassification: Non-ExemptDepartment: Front DeskReports To: Front Desk CoordinatorSUMMARY/OBJECTIVEThe Patient Service Representative is responsible for clinic operations related to customer service, checking patients in-out, ensuring complete and accurate information is entered into all systems used by Ankle & Foot Centers of America, completing payment transactions, scheduling patient appointments and answering the phones. All employees are expected to exhibit professional, ethical and respectful behavior in accordance with the company's mission, vision and values.ESSENTIAL FUNCTIONSGreet all patients and visitors with a smileEnter and update as needed, patient demographicsComplete insurance verifications for all patientsExhibit excellent communication skills over the telephone and in-personCreate correspondences, reports, memos and forms as requested by physicians and/or administrationSchedule mutually acceptable patient appointments for patients and physicians, obtain and enter referral informationCheck patients in and out in a timely and professional mannerCollect co-payments, deductibles, co-insurance and back balances for all services at check-inDemonstrate excellent customer service skills in all interactionsWork as a team with all departments within the companyPrint new patient documents and forms as-neededMaintain inventory and submit front office supply order to administrationFront desk and patient waiting area are to be kept clean, neat and uncluttered at all timesCopy medical documents as requested following the proper proceduresDistribute mail, faxes and routine correspondencesComplete bank deposits as-neededSubmit accurate End-of-Day (EOD)When checking out patients, ensure all balances owed is collected and patient is charged for any DME or services renderedStrictly comply with the Health Insurance Portability and Accountability Act (HIPAA) in protecting patient privacy and federal and state regulationsAdditional job related duties or projects as needed COMPETENCIES Effective communication skillsTeamwork orientedInitiativeProficient computer skillsEthical conductProficient typing skills SUPERVISORY RESPONSIBILITY This position has no supervisory responsibilities.WORK ENVIRONMENTThis position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.PHYSICAL DEMANDSThe physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee must communicate professionally and courteously with patients and clinic staff. Employee must be able to sit for at least an hour at a time. Employee must be able to stand and walk for up to 20 minutes at a time. Employee is required to assist with rooming patients, filing, and other basic office tasks to include keeping office environment and waiting room clean. This will require the ability to bend, stoop, and lift up to 5-10 lbs. The position requires the ability to utilize the computer and keyboard for long periods of time.POSITION TYPE AND EXPECTED HOURSThis is a full time position. Days and hours of work are Monday through Friday 8:30 a.m. to 5:30 p.m. Occasional evening and weekend work may be required as job duties demand. Completion of a four to six week Training for this position is Required to move forward in this position.
