Project AdministratorPremier Fire & Security, an APi Group Life Safety USA company, has an opening for a self-motivated individual to join our team as a Project Administrator. This position will work from our Paducah, Kentucky office.Premier Fire & Security has over 50 years experience in the fire suppression industry and has expanded its footprint to serve customers throughout the Southeast. They will assist the Project Manager and internal stakeholders by administrating the project lifecycle from customer setup to collection of project invoices.Job ResponsibilitiesAssist Project Managers with the project setup, labor schedule tracking, project invoicing, and collections of outstanding invoicesSetup newly awarded projects in construction management systemEnter project budgets and assist Project Managers to update budgets as neededSubmit customer and vendor requests for setup in construction management systemWork with Customers and internal stakeholders to keep project billing and collections processes working efficientlyCoordinate project information across multiple departments including Purchasing, Accounts Payable, Payroll, and Finance ManagementMaintain, consolidate, and organize various types of records in digital project filesComplete weekly and monthly project billing and cost reporting to enable Project Managers to effectively manage their project portfolioPrepare weekly timesheet for field employees and enter project hours by employee for processing by Payroll teamReview and code Project Manager credit card expense reportsContribute to the continuous improvement of project management processes by partnering with other functional areas to identify and drive improved efficiency, effectiveness, and internal controls.Job QualificationsStrong computer skills and show propensity to learn new programs quicklyMust be proficient in Microsoft Office (Excel, Word, and Outlook Required)Proficiency in editing and creating PDF documents (Required)Effective verbal and written communication skills are vitalWell-developed organization skills to manage multiple projects and prioritiesWorks well in either team or independent situationsAbility to quickly adapt to evolving environments and responsibilitiesNotary Public or willingness to become a Notary PublicAbility to pass a post-offer drug screen and background checkPremier Fire & Security is a Drug Free workplace and participates in E-verify.Premier is an equal opportunity employer and does not discriminate on the basis of religion, disability, protected veteran status, age, sex, race, color, national origin, or any other characteristic protected by law.Premier complies with federal and state disability laws and will make reasonable accommodations for applicants and qualified employees with disabilities.If you wish to request reasonable accommodations to participate in the job application or interview process, please contact peopleresources@apigroupinc.us
