Overview
A leading global investment advisory firm is seeking an experiencedExecutive Assistantto support senior leadership within its New York office. This role will provide high-level administrative and operational support to senior bankers and serve as a key partner in managing daily priorities, client interactions, and team coordination.
The ideal candidate is highly organized, proactive, and comfortable operating in a fast-paced, professional environment where discretion, attention to detail, and strong communication skills are essential.
Key Responsibilities
Executive Support
Manage complex calendars and scheduling for senior executives, including internal meetings, client calls, and travel logistics
Coordinate domestic and international travel arrangements, including detailed itineraries and last-minute changes
Process expense reports and maintain accurate documentation in accordance with firm policies
Assist with preparation and coordination of client meetings and marketing materials
Team & Client Coordination
Serve as a point of contact between executives, internal teams, and external clients
Coordinate meeting logistics, conference calls, and video meetings across multiple stakeholders
Communicate regularly with other executive assistants across offices to ensure seamless scheduling and coordination
Operational & Administrative Support
Assist with CRM tracking and administrative systems used to manage client relationships and internal activity
Support organization of client events, conferences, and team gatherings
Maintain organized documentation and assist with reporting or administrative projects as needed
Identify opportunities for process improvements to enhance team efficiency
Qualifications
5+ years of experience supporting senior executives in a professional services environment (investment banking, consulting, private equity, law, or similar)
Strong calendar management and travel coordination experience
Excellent organizational skills and ability to prioritize competing demands
Strong written and verbal communication skills
High level of professionalism and discretion when handling confidential information
Proficiency in Microsoft Office (Outlook, Excel, PowerPoint) and experience with CRM or expense platforms preferred
