This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote. DESCRIPTION UC San Diego Department of Dermatology is a dynamic and growing academic department founded in 2015 within the School of Medicine bringing together a team of 70+ core and voluntary faculty specializing in Adult and Pediatric & Adolescent Dermatology. Dermatology faculty and staff are committed to achieving excellence in clinical care, research and education. Our shared goals are to provide our patients with exceptional clinical care, to advance diagnostic and treatment options for skin diseases through innovative research and to cultivate the next generation of physicians and scientists to be future leaders in Dermatology. The Assistant Department Business Officer (ADBO) is a senior administrative leader responsible for ensuring the effective financial, research, operational, and personnel management of the Department of Dermatology. This role reports directly to the Department Administrative Vice Chair and works in close collaboration with the Department Chair to support and advance the department's academic, clinical, research, and educational missions.Responsibilities also include supervising the administrative services of a large academic department within a school OR college OR non-academic department (program). Typically reports to a manager. Administrative services include all or some of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and / or human resources. Supervises support and / or professional staff. The ADBO provides strategic and operational leadership across key areas. MINIMUM QUALIFICATIONS Nine years of related experience, education/training, OR an Bachelor's degree in related area plus five years of related experience/training. Solid knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and / or personnel management within labor contract(s) and personnel policy. Solid knowledge of common organization-specific and other computer application programs. Solid interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others. Solid skills to quickly evaluate complex issues and identify resolutions. Solid organizational and customer service skills to effectively manage multiple priorities. Solid knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll. Demonstrated skills in employee supervision and HR administration. In depth knowledge of federal, state, and private agency contract and grant regulations and requirements from proposal preparation through close out; including but not limited to cost accounting standards. Ability to independently interpret and implement appropriate UCSD and agency policies, procedures, and guidelines. Advanced knowledge and application of principles and practices of financial management, fiscal planning and analysis. Advanced experience projecting salary, benefit and indirect costs with knowledge of payroll and personnel regulations including impact of salaries, merits, range adjustments and benefit costs. Proven ability to provide comprehensive financial management of extramural funds with multiple indexes, institutions, PI's, and sites. Ability to analyze complex financial issues, recognize potential impact, identify creative and alternative solutions and make recommendations. Demonstrated computer proficiency. Skill in the use of various software, such as databases, spreadsheets and word- processing. Ability to use available computer tools , i.e. Microsoft Office, to streamline work. Proven ability to assess and contribute to development of automated systems to facilitate pre and post award administration. Familiarity with Division faculty, staff, student, and laboratory contacts involved in the purchasing process with ability to advise on initiation and control of expenditures. Demonstrated organizational skills. Ability to work independently, organize time and set priorities to meet established deadlines and to shift priorities and workload to frequently accommodate new and more urgent tasks. Demonstrated skill in setting up and maintaining accurate filing systems. SPECIAL CONDITIONS Occasional evenings and weekends may be required. Must be willing and able to travel Campus, VA, Children's Hospital, and various UCSD sites. Employment is subject to a criminal background check. Pay Transparency Act Annual Full Pay Range: $88,000 - $161,600 (will be prorated if the appointment percentage is less than 100%) Hourly Equivalent: $42.15 - $77.39 Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
