Job DescriptionOur Legal Assistant needs to manage our front desk daily and perform a variety of administrative and clerical tasks to assist the managing attorney in keeping the office functioning on a smooth basis. Our Legal Assistant will work closely with the managing attorney to prepare & review legal documents necessary to conduct a real estate closing. REAL ESTATE CLOSING EXPERIENCE IS REQUIRED!ResponsibilitiesGreet and welcome guests as soon as they arrive at the officeDirect visitors to the appropriate person, office, or conference roomAnswer, screen and forward incoming phone callsAssist with closing files as needed (e.g. disbursing funds/scanning documents)Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)Provide basic and accurate information in-person and via phone/emailMaintain office security by following safety procedures and controlling access via the reception deskKeep inventory of stockUpdate calendars and schedule appointments or meetingsPerform other clerical receptionist duties such as filing, photocopying, transcribing and faxingRequest documents necessary to conduct closings according to contract termsCheck legal documents for accuracyObtain attorney approval for legal documents related to the transactionThe company reserves the right to add or change duties at any timeSkillsHands-on experience with office equipment (e.g. fax machines and printers)Professional attitude and appearanceSolid written and verbal communication skillsAbility to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksCustomer service attitude Time managementActive listeningSoftPro experience is preferredThis Job Is Ideal for Someone Who Is:Adaptable/flexible -- enjoys doing work that requires frequent shifts in directionDetail-oriented -- would rather focus on the details of work than the bigger pictureHigh stress tolerance -- thrives in a high-pressure environmentSupportive – enjoys working as part of a team
