Studio Operations Manager
Position OverviewThe Studio Operations Manager is responsible for overseeing procurement, order tracking and expediting, office operations, and project financial administration for a growing interior design firm. This role serves as the operational hub of the studio, ensuring projects move smoothly from procurement through installation while maintaining organized financial and administrative systems.The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced creative environment. This position offers significant growth potential for an individual interested in developing broader operational and financial leadership responsibilities over time.Key ResponsibilitiesProcurement & Project ExpeditingManage all procurement activities for furnishings, materials, and project-related purchases.Create and maintain purchase orders.Track orders from placement through delivery and installation.Coordinate with vendors, freight providers, and receiving warehouses.Proactively identify and resolve shipping delays, damages, and order discrepancies.Maintain accurate tracking records and status reports for the design team and clients.Client Billing & Project Financial AdministrationPrepare client invoices, proposals, and payment requests.Track client payments and outstanding balances.Assist with project budgeting and monitor project expenditures.Reconcile vendor invoices with purchase orders and project budgets.Maintain organized financial records and project documentation.Serve as a point of contact for client billing inquiries.Office & Studio OperationsOversee daily office administration and operational processes.Maintain office systems, procedures, and vendor relationships.Manage office supplies, subscriptions, and service providers.Support onboarding and administrative needs for team members.Identify opportunities to improve studio efficiency and workflow.Bookkeeping SupportAssist with accounts payable and accounts receivable.Maintain accurate records within Studio Designer, the firm's project management software.Reconcile vendor accounts and credit card transactions.Coordinate with external accounting professionals as needed.Support monthly financial reporting and project profitability tracking.Qualifications3–5 years of experience in operations, procurement, project coordination, office management, or financial administration.Experience in interior design, architecture, construction, or a related industry preferred.Working knowledge of bookkeeping fundamentals and financial processes.Strong organizational skills and exceptional attention to detail.Ability to manage multiple projects and deadlines simultaneously.Excellent communication and problem-solving skills.Proficiency in Microsoft Office, Google Workspace, and project management software.Growth OpportunityThis role offers a clear path for professional growth into expanded operational and financial leadership responsibilities, including project financial analysis, business reporting, and studio management.
