Administrative Operations Coordinator

A leading organization in the life sciences industry is seeking an Administrative Operations Coordinator to support internal business operations and administrative workflows for a large commercial team.This role will work closely with department administrators to help manage operational tasks including purchase orders, expense tracking, document workflows, meeting coordination, and reporting. The position requires a highly organized professional who is comfortable working across multiple teams and supporting high-volume administrative processes.This is a contract opportunity with strong potential for extension or conversion.ResponsibilitiesProvide administrative and operational support across multiple business teamsCreate and track purchase orders through internal procurement systemsManage invoice processing and expense report reconciliationCoordinate document workflows using electronic signature toolsMaintain records, documentation, and departmental filesSupport meeting coordination including scheduling conference rooms and preparing materialsAssist with travel coordination including flight and hotel bookingGenerate reports and maintain tracking spreadsheets for internal operationsSupport departmental supply management and purchasingCollaborate with administrative staff to support a large operational organizationQualificationsBachelor’s degree required2–5 years of administrative, operations, or coordinator experienceExperience supporting corporate or enterprise teamsStrong proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook)Excellent organizational, communication, and multitasking skillsAbility to maintain confidentiality and manage sensitive informationPreferred ExperienceExperience with procurement or finance systemsPurchase order creation and invoice tracking experienceExperience with electronic signature workflowsExperience with corporate expense reporting tools
